POSITION DESCRIPTION:
The Customer Service Specialist will be working with customers on a daily basis quoting parts, doing cost estimates, placing orders and following up on previous orders. We will also provide the customer with insight on the parts they should keep in stock through Recommended Spare Parts List or addition communication when working on a current order. The communication with the customer will be thru email, phone calls, and web inquires. We work with our internal Sales, Engineering, Purchasing, Manufacturing, Accounting, and Shipping teams, as well as our Vendors throughout the process of supporting our customers.
REQUIRED QUALIFICATIONS:
- High School Diploma or Equivalent
- Basic Computer Skills (Excel, Word, ETC.)
- Good Communication and Customer Relation Skills
- Mathematical Skills (Ability to add, subtract, multiply and divide in all units of measure)
- Ability to read Engineered Drawings and Bill of Materials
- Ability to read and interpret documents such as open order, parts inventory, etc.
- Proven customer support experience or experience as a Client Service Representative.
- Strong phone contact handling skills and active listening.
- Familiarity with CRM systems and practices.
- Ability to multi-task, prioritize, and manage time effectively.
RESPONSIBILITIES:
- Manage large amounts of incoming calls and customer service inquiries.
- Enter customer orders, track shipment status, and manage any concerns or escalations to ensure timely delivery and resolution of issues.
- Work with price lists, collect deposits or payments, and resolve any billing issues by processing product exchanges and coordinating with the accounting department
- Generate sales leads that develop into new customers.
- Provide detailed information about products, prepare quotes, and offer written proposals to customers.
- Build sustainable relationships of trust through open and interactive communication.
- Provide accurate, valid, and complete information by using the right methods and tools.
- Meet personal and team sales targets and call handling quotas.
- Serve as the primary point of contact for customers, interpreting and implementing their instructions for custom manufacturing products
- Handle complaints, provide appropriate solutions and alternatives within the time limits, and follow up to ensure resolution.
- Keep records of customer interactions, process customer accounts, and file documents.
- Follow communication procedures, guidelines, and policies.
- Address and resolve customer inquiries and issues, ensuring a positive customer experience
