Position Overview: We are seeking a Customer Service/Closing Specialist to join our property management team. The ideal candidate will be detail-oriented with strong customer service skills, experience in accounts receivable (a plus), and knowledge of closing and estoppel processes. This person should be proactive, adaptable, and skilled at troubleshooting to ensure smooth operations and maintain excellent resident relations.
Key Responsibilities:
- Act as the primary point of contact for residents, addressing inquiries and resolving concerns promptly and professionally.
- Process accounts receivable transactions, including payments and account reconciliations.
- Manage the closing process, ensuring accurate documentation and timely processing of ownership changes and related deposits.
- Prepare, manage, and ensure timely and accurate completion of estoppel certificates.
- Handle communications with tile companies, mortgage brokers, and realtors regarding estoppels, affidavits, and related status updates.
- Approve and release estoppels prepared by the offshore team and assist with questions and research when needed.
- Process ownership changes, including scanning checks and following up on outstanding issues.
- Maintain accurate records, update databases, and generate required reports.
- Track and manage transfer fee checks and maintain an excel log.
- Prepare revenue reports for estoppels, questionnaires, and transfer fees.
- Research public records when necessary to verify ownership for estoppel requests.
Required Skills & Qualifications:
- Strong customer service skills with a professional and friendly demeanor.
- Experience with closing and estoppel processes.
- Previous experience in hospitality, residential front desk, or property management is a plus.
- Ability to adapt quickly to changing priorities and take initiative.
- Excellent problem-solving and troubleshooting abilities.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office and property management software (Yardi experience preferred).
- Ability to multitask and work effectively in a fast-paced environment.
