General Purpose:
Prepare, scan, and index paper files and documents for various departments within the agency. Identify, index, scan, and quality check document images to ensure archival quality and electronic retrieval by user departments.
Essential Duties and Responsibilities:
The below statements are intended to describe the general nature and scope of work being performed by this position. This is not a complete listing of all responsibilities, duties and/or skills required. Other duties may be assigned.
- Responsible for daily equipment calibration and maintenance, including cleaning to ensure image quality.
- Manually counts files prior to prepping and after prepping. Must be completed after each file is finished.
- Removes various documents and folders from shelved and boxed content and prepares them for scanning, removing all staples, paper clips, and bindings from documents.
- Coordinates file collection with various departments and preps documents according to department request.
- Checks scanning specifications for accuracy and image quality requirements.
- Sets equipment settings as identified for each job to ensure accurate image capture per department specifications.
- Scans documents into existing software and provides data entry (indexing).
- Inputs and validates accurate data entry.
- Performs image cleaning, resizes and formats using agency’s imaging software to create a mirror image of the paper copy of document and improve overall readability.
- Performs quality review of the scanned images to ensure accuracy and completeness of the electronic file.
- Compares electronic version to paper version to verify the wholeness of the scanning task.
- Follows procedures to complete tasks in a timely manner.
- Performs lookups in housing management software, when necessary, to confirm and/or validate indexing data.
- Maintains paper documents received via U.S. Mail for prescribed period and then coordinates destruction, as applicable.
- Maintains confidentiality of sensitive employee and client data and ensures security of data and documents. Maintains file chain of custody and transfer files to storage.
- Performs other duties as assigned.

Minimum Qualifications, Education and Certifications:
- High school diploma is required; a college degree is preferred.
- Prior experience with document imaging, including bulk scanning and indexing, is preferred, but not required.
- Must be a U.S. citizen and pass a basic background check.
Physical Requirements. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job:
Physical demands may include sitting for extended periods, lifting up to 30 lbs. and repetitive motion using a keyboard and mouse. The visual acuity requirements include viewing a computer monitor and paper documents and files.
