The primary task of the Records Clerk is to maintain student records and transcripts, assist with registration and schedule changes, and scan records for permanent storage. Essential Duties And Responsibilities
The duties and responsibilities of this position include, but may not be limited to, the following:
- Perform general clerical duties requiring the exercise of tact, judgment, and discretion.
- Process applications, readmissions, withdrawals, and transcript requests.
- Maintain student records in database.
- Assist with registration on all campuses as required.
- Contribute to department cohesiveness.
- Receive, process, open, sort, and distribute office mail and supplies.Â
- Sort and file correspondence and other documents according to established rules of records management.Â
- Act as a clerk/receptionist to provide information to students, college personnel, or visitors in a manner evidencing cordiality.
- Operate a computer, calculator, or other office machinery in the performance of routine clerical operations.
- Assist in maintaining central files according to standard rules of records management.
- Answer telephone, take messages, and/or direct calls to appropriate department/persons as needed.
- Search files and furnish required information.
- Generate and send forms, letters, and other routine correspondence.
- Duplicate documents on request.
- Assist other office personnel with special assignments or substitute for absent personnel.
- Supervise work study students if required.
- Perform other duties as requested by appropriate supervisor.
- Associate degree from an accredited institution is required.
- Two (2) years of clerical or office related experience is required.
- Knowledge of computer software applications and office machines is required.
- Demonstration of effective oral and written communication skills is required.
- Excellent communication skills, attention to detail, strong problem-solving skills, and ability to multitask and work in a team environment with a positive attitude is requiredÂ
- Experience in college admissions is preferred.
- Experience with ARGOS, TargetX, Banner, Axiom, AdAstra, and/or student services is preferred
