Job Summary:
We are seeking a dedicated Practice Manager to oversee the daily operations of our medical practice. The ideal candidate will have a strong background in medical administrative support, acute care, managed care, and human resources.
Duties:
- Manage and direct staff assignments and activities, in accordance with office policy and applicable laws
- Understand and comply with oral surgery office HIPAA compliance
- Manage compliance with OSHA, state and federal regulations
- Know and follow oral surgery office contingency plan
- Stay current with trends, legislation and regulations in the oral surgery profession
- Focusing on scheduling and anticipating scheduling issues
- Manage patient financial accounts
- Manage the hiring and ongoing performance of staff
- Inventory and ordering of office supplies
- Manage general office issues in repairs and maintenance
- Uphold the general appearance of the entire office to meet first impressions criteria
- Updating/executing phone recordings during holidays/special hours.
- Implementing and upholding AAAASF regulations.
- Creating and facilitating AAAASF QI projects (2).
Patient Management
· Oversee patient relations and referral relations
· Receive patient complaints and respond as directed by the doctor
· Explain office policy to patients and new employees
· Monitor patient relations through periodic patient satisfaction surveys
· General Human Resources such as but not limited to: payroll, benefits administration, time tracking, event planning, appraisals and termination.
Staff Management
· Assign, direct, and manage staff duties, as directed by the doctor
· Determine staff schedules and coordinate with the Patient Coordinators
· Coordinate staff hiring process (i.e., recruiting, interviewing, hiring, etc.)
· Orient and train new staff including new management staff
· Train staff, including OSHA and HIPAA compliance
· Monitor staff performance and supervisor evaluations
· Conduct staff and salary reviews or assist the Doctor with staff reviews
· Engage in conflict resolution with all staff, and manage grievance complaints
· Make business arrangements for conferences with Doctor and staff
· Support staff as needed (i.e., appointment scheduling, collections, insurance, etc.)
Records and State and Federal Regulations Management
· Ensure that HIPAA Notice of Privacy Practices is on display
· See that records are stored securely and handled in compliance with HIPAA regulations
· Help implement state and federal regulations
· Arrange for OSHA and risk management seminars
· Maintain staff employment records
· Update and maintain employee office manual
· Help doctor draft and implement office policies
Qualifications:
- Previous experience in a medical setting, preferably in acute care or managed care
- Proficiency in supervising and leading a team
- Knowledge of medical records systems and dental office procedures
