Position Summary

Reporting directly to the Senior Director of Philanthropy (SD), the Executive Assistant (EA) plays a pivotal role in providing comprehensive support to the SD and to the broader philanthropy team. This includes expertly managing calendars, planning and facilitating meetings, supporting relationship management with internal and external stakeholders, conducting research, data entry, and drafting and editing correspondence and reports.

As a representative of the AHS Foundation, the EA serves as a liaison between the Philanthropy team and members of the board of trustees and / or the leadership team. This involves organizing and coordinating executive outreach, managing external communications, and overseeing special projects. The EA also provides critical administrative and technical support for high-visibility, sensitive, and multi-faceted grant and gift management initiatives, proposal development, stakeholder engagement, and capacity planning. These projects are often broad in scope and span multiple functional areas, involving collaboration with staff and leadership at all levels, from front-line workers to senior administration.

Administrative and Calendar Management

  • Manage the SD’s calendar, scheduling, and meeting preparation, ensuring engagements align with priorities.
  • Serve as a key liaison, fostering seamless communication and collaboration with internal and external stakeholders.
  • Conduct research, manage data, and prepare reports, correspondence, and executive outreach materials.
  • Support board relations, donor engagement, and philanthropic initiatives through coordination and logistics.
  • Oversee special projects, ensuring efficient execution and timely follow-through.
  • Manage expense reports, budget tracking, and financial documentation.
  • Prioritize and address incoming issues, including sensitive matters, and determine appropriate actions.
  • Handle office administration, including calls, communications, and general support tasks.
  • Optimize the SD’s time by coordinating meetings, tracking priorities, and providing necessary materials.
  • Schedule and coordinate meetings, funder and donor visits, and events; provide timely notifications and follow-ups with attendees and other relevant stakeholders;
  • Keep the SD informed of upcoming meetings and proactively provide necessary preparatory materials to ensure readiness.
  • Perform other duties as assigned.

Meeting support :

  • Prepare meeting spaces, audiovisual setup, and any necessary materials.
  • Draft and review meeting minutes, tracking follow-up actions.
  • Manage travel arrangements, including itineraries and agendas.
  • Maintain accurate records for reference and dissemination.
  • Communication :

  • Prepare presentations, reports, newsletters, and donor materials.
  • Communicate on behalf of the SD with leadership, donors, and stakeholders.
  • Facilitate collaboration between the SD, philanthropy teams, and internal departments.
  • Support donor communications, including post-award messaging.
  • Project Management :

  • Support complex projects with internal and external stakeholders.
  • Track progress, resolve issues, and ensure timely updates.
  • Evaluate and refine projects for quality, efficiency, and impact.
  • Adjust schedules and targets as priorities evolve.
  • Maintain quality standards and optimize processes.
  • Candidate Profile

    The ideal candidate is a proactive professional who demonstrates sound judgment and employs strong written and verbal communication, administrative, and organizational skills. They thrive in a dynamic, entrepreneurial, mission-driven, and results-oriented environment. The EA is a partner, adept at building positive working relationships and managing multiple priorities in a fast-paced setting with little oversight.

    MINIMUM REQUIREMENTS

  • Bachelor’s degree in business administration, health care, or related field required, OR four years of experience in a directly related field;
  • High School Diploma or General Education Development (GED) required;
  • Strong work tenure : five to 10 years of experience supporting C-Level Executives, preferably in a non-profit and / or healthcare organization;
  • Advanced competency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, Zoom, Teams, and Social Media web platforms;
  • Understanding and respect for confidential information including the ability to use discretion in working with confidential and sensitive data;
  • Demonstrated attention to detail including exceptional proofreading and deadline management skills;
  • Strong customer service and team orientation;
  • Ability to communicate effectively with donors and funders; leaders of the health system, partner agencies, and community organizations; staff of the Foundation and health system; colleagues; etc.;
  • Strong interpersonal and written communication skills with demonstrated attention to detail and ability to relate to individuals at varying levels internally and externally;
  • Willingness to work evenings and weekends as necessary;
  • Understanding and experience in fundraising and the nonprofit and healthcare sectors
  • PREFERRED SKILLS / EXPERIENCE

  • Three to five years of experience in fundraising or philanthropic environment;
  • Project Management Institute (PMI) Project Management Professional (PMP) certification;
  • Integrated client database systems (Raiser’s Edge);
  • Agile certified.
