Areas of Accountability:
- Front desk duties:
- Greeting visitors
- Coordinating schedules/meetings with management
- Processing ingoing and outgoing mail/packages
- Answering and routing calls
- Event planning and coordination
- Maintaining and updating electronic directories for the corporate office and stores
- Drafting of correspondence, spreadsheets, presentations, and other documents for various departments and executives
- Responsible for the purchase of and distribution of supplies and equipment to stores, warehouses, and corporate office
- Running reports to monitor supply needs and create purchase orders
- Maintaining relationships with supply vendors, troubleshoot supply issues, vendor issues, and invoice discrepancies
- Coordinating, tracking financially, and carrying out of company charitable giving and charitable campaigns
- Ordering all office equipment for new hires and setting up workstations and assisting with other IT matters, as needed
- Restocking breakrooms regularly and ensuring various pieces of office equipment are maintained and operational
- Running errands as needed
- Special projects as assigned
- Various financial services duties including:
- Approving checks cashed at stores over $3,000
- Coordinating the loading of gift cards with the head office in Winnipeg, Manitoba
- Completing check requests for vendor invoices
- Submitting manufacturers' coupons for reimbursement to the company
- Place maintenance requests with Winnipeg and building management, and coordinating building repaires/maintenance
- Maintaining company vehicle registrations and renewing as needed
- Other duties as assigned
Skills and Qualifications:
- Minimum 5 years' experience in office administration
- Basic understanding of and experience with accounting
- Experience handling high volume mail and package distribution
- Hold a valid driver’s license and be able to drive personal vehicle to run errands (miles reimbursed)
- Ability to pass background check due to working in the SIDA (Security Identification Display Area), as the property is located at the airport
- Ability to sit (or stand at a standing desk) for extended periods of time
- Ability to utilize a computer and standard office programs for extended periods of time
- Ability to walk short distances
- Ability to walk up and down the stairs multiple times a day
- Ability to lift and move up to 50 lbs. alone daily
- Excellent communication and interpersonal skills

- Work well in a fast-paced environment
- Ability to work in office environment at a desk up to 95% of the time and attend meetings as required
