POSITION SUMMARY:
The Central Services Project Coordinator is responsible for working with department and project leadership to coordinate processes and meet requirements for new and existing company projects that span capital, maintenance, and operating domains. Additionally, this position provides general administrative support to Central Services customers throughout the company. This role works with a variety of internal and external stakeholders as a member of a fast-paced, self-directed, collaborative, and interdependent team.
KEY or ESSENTIAL FUNCTIONS:
Construction Project Coordination and Tracking
- Promptly respond to customer inquiries and feedback and resolve customer issues with the goal of satisfying the customer, complying with AELP’s tariff, and enhancing AELP’s image and interests.
- Secure documentation such as building permits, plat maps, as-builts, easements, and other information, as required for projects and to meet contract requirements.
- Assists in drafting, writing, and administering construction contracts.
- Meets with stakeholders to review contracts, obtain authorized signatures, and secure payment.
- Coordinate and open project work orders.
- Coordinate with accounting staff to deliver the required documentation to capitalize project assets as required for work order opening and closure.
- Coordinate with stakeholders to collect damaged equipment reports for insurance reporting and as required by engineering for the preparation of estimates, initiating repairs, invoicing, and work order documentation.
- Prepare, maintain, and archive construction files.
- Provide general administrative support to project managers.
Asset Maintenance Coordination and Tracking
- Coordinate, maintain, and improve asset tracking, related maintenance, and replacement activities.
- Coordinate, update, and maintain asset databases to record installation, removals, and replacements of assets.
- Coordinate, distribute, and track testing and inspection documentation.
- Collaborate with engineers and crews to document the resolution of identified maintenance needs.
- Coordinate with service crews to arrange for the installation and maintenance of state, city, and customer owned streetlights.
- Provide general administrative support to engineers.
Administration
- Provide general support to Central Services by covering absences, archiving, developing, and implementing naming conventions, and supporting various projects as needed.
- Compile and produce coverage and scheduling charts for remote crews.
- Assist with quarterly and annual physical inventory reconciliation.
- Assist in compiling and producing required annual federal and state reports related to energy production, FERC exemption, and Title 5, and others as required.
- Other duties as assigned.
QUALIFICATIONS/REQUIREMENTS:
- A degree in business administration, construction management, or another related discipline preferred.
- Five years plus of related experience, experience collaborating with contractors, project managers, and consultants in creating project documents preferred.
- Proficiency in MS Word, Excel, and Outlook includes working knowledge, development, and maintenance of Excel databases that require standard formulas and filters preferred.
- Excellent oral and written communication skills including the ability to draft business documents and forms.
- A proven history of contributing as a team member and successfully building relationships both internal and external.
- Excellent organizational skills and follow-through.
- The ability to coordinate multiple tasks with minimal supervision.
The ability to demonstrate competent knowledge of project management processes and the acumen to complete complex work assignments. Other combinations of education and experience may be considered.
Must have a valid driver’s license and be insurable under AELP’s insurance policy. Applicants must be willing to release their driving records to AELP prior to offer of employment.
EQUIPMENT UTILIZED:
The duties of this position will require regular use of a desktop computer, keyboard, mouse, telephone, printer, as well as other office equipment as required for the job.
PHYSICAL REQUIREMENTS: To meet all expectations of this position, the employee must be able to lift twenty (20) pounds without assistance and sit for lengthy periods of time.
