JOB TITLE: RETAIL ACCOUNTS OPERATIONS SPECIALIST
DEPARTMENT: SALES & BILLING
JOB SUMMARY
The Retail Accounts Operations Specialist is responsible for managing the order processing, billing, and administrative tasks related to our partnerships with major retail chains, including Walmart, Fred Meyer, Lowe's, and Home Depot. This role ensures smooth communication, accurate documentation, and effective resolution of any issues related to sales operations and billing. The ideal candidate will have exceptional organizational skills, attention to detail, and the ability to thrive in a fast-paced environment.
DUTIES & RESPONSIBILITIES
Order Management
· Write up and process all orders for assigned retail partners.
· Ensure compliance with each retailer’s specific system and protocols.
· Maintain accurate records of all orders and track their status.
Billing and Documentation
· Generate and process invoices in accordance with retailer requirements.
· Manage and submit proof of delivery, signed delivery paperwork, and other supporting documentation.
· Reconcile billing discrepancies and ensure timely resolution of any invoicing issues.
System and Data Maintenance
· Update product details, UPC codes, and pricing information in retailer systems.
· Run performance and sales reports to identify trends and opportunities.
· Ensure data integrity across all platforms and systems.
Issue Resolution
· Track down and resolve order, billing, and delivery issues promptly.
· Communicate effectively with internal teams, retailers, and logistics partners to address problems.
Administrative Support
· Provide information and updates to the Sales Manager as needed.
· Maintain organized records of all paperwork, including invoices, proofs of delivery, and communication logs.
· Assist with audits and compliance checks related to retail partnerships.
Performance Reporting
· Prepare and deliver performance and sales metrics reports.
· Identify and escalate areas for improvement or operational efficiencies.
EDUCATION & EXPERIENCE
· High school diploma or equivalent required; associate or bachelor’s degree in business administration, accounting, or a related field preferred.
· 2 years of experience in sales administration, billing, or a related role, preferably with exposure to large retail chains.
· Strong organizational and multitasking abilities.
· Proficiency in billing systems and office software (e.g., Excel, ERP systems).
· Excellent communication and interpersonal skills.
· Ability to analyze data and generate actionable insights.
· Problem-solving mindset with a high level of attention to detail.
· Experience with EDI systems for Walmart, Home Depot, Lowe’s, and other major retailers.
· Advanced computer skills with the ability to quickly learn and adapt to new systems and tools.
· Self-starter capable of working with little to no direction.
REQUIRED SKILLS AND ABILITIIES
· Must be 18 years of age.
· Must be organized and able to prioritize work. Good aptitude in working with numbers is helpful.
· Good customer service skills are essential.
· High degree of accuracy and efficiency in work.
· Exceptional attention to detail.
· Ability to adapt to different retailer systems and protocols.
· Strong customer service orientation and proactive approach to issue resolution.
· Collaborative mindset with the ability to work both independently and as part of a team.
· Self-motivated and capable of managing tasks independently.
PHYSICAL REQUIREMENTS
· Office-based role with occasional requirements to travel or visit retailer facilities.
· Must be able to manage deadlines and handle multiple priorities effectively.
· Must be able to climb stairs.
· Must be able to safely use hands and arms in reaching and moving materials and products.
WORKING RELATIONSHIP
This position requires frequent vendor contact. The successful candidate will have a positive, professional and safe attitude at all times.
SALARY
Starting pay $20.00 per hour. Compensation will vary based on experience, skills, education, and other job-related factors. The position includes eligibility for an annual discretionary bonus based on company goals.
