JOB TITLE: Business Office Manager
DEPTARMENT: Business Office
GENERAL SUMMARY OF DUTIES: An exempt position. Responsible for managing, directing and supervising the reimbursement/coding activities on all services furnished by the physicians/providers of Alaska Heart Institute. Ensures accurate patient billing and efficient account collection to maximize cash flow.
SUPERVISON RECEIVED: Reports to Chief Revenue Officer
SUPERVISION EXERCISED: Supervises billing office staff which consists of charge posting, payment posting, Insurance/ Medicare research, collections, patient/insurance refunds and bank deposits.
ESSENTIAL FUNCTIONS:
- Develops departmental objectives and organizes the work of the department. Reviews work of billing office personnel.
- Responsible for managing human resources of the billing department staff. Hires, orients, evaluates performance goals and objectives, recommends merit increases, promotions, and disciplinary actions for supervised staff.
- Maintains accounting controls established by AHI through staffing and assignment of duties. Job descriptions will be developed to ensure a division of duties that results in accountability and protection against fraud and abuse. Changes to department job descriptions will be approved by the Chief Revenue Officer.
- Plans and directs patient insurance, billing, collections and data processing to ensure accurate patient billing and efficient account collection. Identifies billing and processing problems in a timely manner. Recommends and implements approved solutions. Responsible for ongoing monitoring of all business office functions.
- Works with the Chief Revenue Officer to prepare monthly accounts receivable reports and analysis. These may be given to the CEO for presentation to the physician members.
- Participates with updates to the AHVI fee schedule and CPT codes according to the most current published information to ensure compliance. The Chief Revenue Officer will review and approve.
- Establishes workflow benchmarks for billing department personnel relating to accuracy, account follow-up, production, collections and timeliness regarding patient accounts.
- Monitors patient and insurance credit balances. Receives signed refund checks and prepares posting batches for payment posters, so they have a balancing tool.
- Assists in the yearly budgeting process with the AHI Management Team in those areas relating to the billing department.
- Review Medicare, Medicaid, VA, Blue Cross, Tricare, and any other insurance carriers that AHI participate with to insure timely submission of charges and proper reimbursement.
Education: Preferred: Bachelor's degree in business administration or related field.
Experience: Preferred: Five or more years prior medical business office experience, with two years as a department manager in billing. Minimum: Prior supervisory experience of five or more staff members.
