Summary: Under general supervision, provides electronic, in-person, and telephone support for Acute Care nursing leaders and staff through administrative duties related to staffing, scheduling, timekeeping, and operations.
Responsibilities:
All levels
Creates, manages, and maintains staff schedules in the electronic scheduling system for Acute Care Nursing departments. Staff includes but is not limited to Registered Nurses, Respiratory Therapists, Certified Nursing Assistants, Technicians, Technologists, Medical Clerks, Patient Care Technicians, and Patient Observers.
R eviews approved leave and staff availability to draft fair schedules that meet the needs of the unit while providing work-life balance for employees.
A ssists with coordination of department orientation for new team members and provides general guidance in regards to scheduling and training.
Makes daily edits for staffing changes in the electronic scheduling and timekeeping software and revises schedules as needed due to staffing changes, labor shortages, or other interruptions. Updates time and attendance records according to policies and procedures. Receives and initiates phone calls from staff for staffing changes such as call outs and callbacks.
Works in collaboration with the House Supervisors and nursing leadership to adjust staffing on each unit, including tracking floated staff and call out replacements in real-time while maintaining staffing levels that provide safe care and meet established patient ratios.
D elivers a high level of guest service for both internal and external guests in person and over the phone and re sponds timely, taking appropriate action to resolve schedule concerns or complaints.
Provides general clerical support such as ordering and stocking office supplies, making travel arrangements, submitting reimbursement requests, sorting and delivering mail, receiving and distributing faxes, making copies and scanning documents. Maintains record-keeping systems, such as Patient Observer/Sitter logs, and performs general filing and file retrieval.
Provides general administrative support such as maintaining Disaster Rosters, setting appointments, scheduling meetings, and arranging conference rooms.
Performs other duties as assigned or required.
Staffing and Scheduling Specialist and Senior Staffing and Scheduling Specialist:
Assists with process analysis and developing production measures for improved efficiencies.
Compiles and maintains data needed for manager reports. May prepare and process special and recurring reports and administrative records and assists department leadership in performing audits as needed.
Reviews and approves leave requests, schedule drafts, and timekeeping adjustments.
Attends meetings to coordinate with Human Resources and department leaders regarding staffing and scheduling needs.
