Equipment Fleet Coordinator
Duties and Qualifications: Oversee large fleet of vehicles and construction equipment, monitoring location, operational status, and ensuring all units are properly identified, inventoried, insured, and licensed.
- Manage equipment fleet database to ensure database accurately reflects location and status of each unit, entering data as needed to keep equipment information current.
- Conduct weekly audits of equipment inventory.
- Assign unit numbers for new equipment and enter into database; create and maintain physical and electronic equipment files for each unit; prepare specification and pricing sheets for each unit.
- Coordinate preparation of lease agreements with office staff; obtain and file current insurance certificate information for leased equipment.
- Review equipment check-out and check-in sheets for accuracy, updating database to reflect current status and location of unit; determine any billable damage and ensure damage is sufficiently documented; notify customers of damage and provide cost estimate of required repairs; prepare work orders documenting repair costs and submit to accounting department for final billing to customer.
- Maintain complete and orderly maintenance file for each unit.
- Maintain warranty records for each unit and review all equipment-related payables to ensure company is not billed for any parts and/or repairs which are covered by warranty.
- Timely file warranty claims with manufacturers and/or dealers; review warranty notices from manufacturers and coordinate with shop staff to ensure warranty repairs are completed by appropriate dealer.
- Prepare and file registration and licensing documents with DMV and ensure all existing vehicle registrations are renewed timely.
- Travel to Fairbanks periodically (no less than twice a year) to conduct physical inspection and inventory of equipment.
Required Skills/Abilities
- Computer proficiency and working knowledge of Microsoft Office required; experience with equipment tracking database a plus.
- Exceptional organizational abilities and attention to detail.
- Excellent verbal, written, and customer relation skills.
- Ability to work independently and employ critical thinking skills.
- Knowledge of Alaska DMV licensing regulations a plus.
- Familiarity with types of vehicles and construction equipment a plus.
Education and Experience
- Previous job experience demonstrating proficiency with required duties and skills required.
- Minimum three years related experience required.
Job Type: Full-time
Pay: $23.93 - $35.00 per hour
Expected hours: 40 per week
