Job Overview:
The Associate Real Estate Manager will support property administration and facilities management, working closely with the Property Manager to ensure efficient daily operations. Responsibilities include lease management, facilities coordination, operational projects, building system inspections, budget and reconciliation, documentation organization, and maintaining strong communication with tenants, vendors, and internal teams. This role is key to streamlining processes, improving operational efficiency, and ensuring compliance with Alco’s property management standards.

Essential Job Skills/Experience:
- Bachelor’s degree in business, real estate, or a related field, or equivalent experience. Relevant property or facility management certifications, such as CPM or RPA, are preferred but not required.
- At least 3 years of experience in commercial property management, including tenant and vendor relations, lease administration, budgeting and reconciliation, work order coordination, RFI (Request for Information) and RFP (Request for Proposal) processes, and facility projects.
- Working knowledge of building systems and their maintenance.
- Strong organizational skills with the ability to prioritize and manage multiple tasks.
- Exceptional written and verbal communication skills with the ability to engage professionally with diverse stakeholders.
- Technologically savvy, with a track record of using technology to streamline processes.

Essential Job Functions/Duties:
Property Administration and Operations
- Analyze lease documents and input accurate lease data into systems such as Yardi and Dropbox. Proactively identify changes and ensure proper documentation.
- Thoroughly review and understand all leases. Apply lease analysis in daily operations, including documenting and applying the details to operational budgeting and reconciliation processes.
- Participate in developing, implementing, and reconciling operational budgets. Manage and monitor variance throughout the year and control expenses to meet ownership expectations.
- Manage and support the completion of lease accounts receivable and lease ledger updates.
- Manage and support the completion of monthly Commercial Billing, follow through with tenant collections to minimize past-due balances, and collaborate with the team to comply with collection policies.
- Maintain up-to-date property records, including contracts, drawings, and maintenance logs, ensuring accessibility across shared platforms.
- Conduct regular property inspections, documenting findings and coordinating necessary follow-ups with vendors or technicians.
- Manage and support utility billing processes, including account initiation and termination, and directly work with vendors and Yardi Energy Management to monitor for abnormal usage and respond.
- Assist in the development and execution of operating and capital budgets, tracking variances, and preparing monthly performance reports.
- Manage and support the coordination of tenant move-in and move-out processes and walkthroughs and ensure all associated documentation is completed accurately.
- Manage and support vendor bidding processes, contract management, and compliance with service agreements. Validate quotes promptly against past expense records and current market rates and obtain managers’ approval for purchase orders to proceed with vendor hiring.
- Manage vendor invoices, ensuring accurate coding, documentation, and timely processing.
- Manage and support the completion of prompt responses to tenant work order requests, ensuring accounting accuracy coding and classification.
- Manage and support the completion of Inspections and Preventive Maintenance to ensure building systems are well-maintained and documented. Provide suggestions for repair and replacement by providing validated information.
- Communicate emergency responses to the team promptly. Monitor and manage communication channels such as Microsoft Teams, emails, and phone calls.
- Manage and support the follow-up on vendor lead times and scheduled completion dates, keeping tenants updated and utilizing the system for documentation.
- Manage and support the completion of uploading and coding vendor invoices to the system.
- Manage and support data input, analysis, and quality control in Yardi and its auxiliary modules.
- Ensure all services comply with company policies, procedures, and contractual obligations.
Vendor and Tenant Relations and Communication
- Establish and maintain professional relationships with tenants, ensuring exceptional customer service and timely resolution of concerns.
- Act as a liaison for tenant requirements, effectively communicating with internal teams and ensuring actions are tracked and documented.
- Engage in on-site property visits to strengthen tenant, vendor, and team relations while gaining practical knowledge of property operations and building systems.
- Host regular tenant meetings as necessary to address updates, concerns, or changes in property operations and foster tenant engagement.
- Evaluate vendor performance regularly and provide feedback to ensure service quality and cost-effectiveness.
Property Projects
- Support the creation, maintenance, and improvement of property management and facilities documentation.
- Partner with the Property Manager and facilities staff to coordinate inspections, respond to lender or insurer requirements and ensure accurate documentation.
- Collaborate on planning and executing property improvement projects, adhering to established timelines and budgets.
- Partner with the Property Manager to implement sustainable energy efficiency initiatives and ensure compliance with applicable regulations. Lead or assist with Clean Building and energy compliance reporting, providing regular updates to the team as required.
