Overview
The Assistant to the Director is responsible for assisting the Director in managing a complete facilities maintenance staff consisting of HVAC technicians, electricians, plumbers, painters, carpenters, locksmiths, campus services, and general maintenance personnel on campus and within the residential halls.
The Assistant Director maintains and updates all campus facility data, including blueprints and related construction documents on all new construction renovations and repair/alteration of all buildings. This individual also ensures compliance with all current federal, state, and local regulations, including ADA, Fire/Life Safety, OSHA, EDA, and Department of Energy.
Job Duties and Responsibilities
- Assists the Executive Director in the overall management of Facilities Management
- Prepares blueprints and other drawings for facilities, renovations, repairs and new construction.
- Maintains and updates inventory of all campus facility blueprints Assists in maintaining and updating Regents facility data reports.
- Works with Managers to maintain and update inventory on all campus HVAC.
- Prepares and distributes cost and labor estimates on proposed projects.
- Maintains and distributes to shop directors the current ADA, OSHA, Fire/Life Safety, EPA, Department of energy and other governmental regulations.
- Assists in obtaining emergency purchase requests for shop directors.
- Prepares scope of work and contract documents for use with outside vendors.
- Assists in the evaluation of Facilities personnel.
- Conducts training sessions and prepares training materials for Facilities’ superintendents and supervisors Develops, maintains and updates facility standards.
- Conducts legal research and prepares legal documents in regard to campus real estate, contracts and facilities Assists Director and Shop Superintendents in defining, refining and drafting employee job descriptions and duties.
- Analyzes overall departmental and intra-departmental organizational structures and makes recommendations for improvement.
- Applies concepts of re-engineering to empower employees to more fully participate in decision making processes that affect their respective job responsibilities.
- Analyzes departmental policies and procedures and makes recommendations for improvement in efficiency and effectiveness.
- Apply concepts of Industrial Engineering, Systems Analysis, Finance and Quantitative Methods to analyze operations and makes recommendations as to the most optional and feasible methods for operation.
- Prepares bid specifications for projects contracted to outside vendors and contractors.
- Performs other duties as assigned by the Director.
Required Qualifications
- Seven years' managerial experience in related trades.
- Graduation from High School or a Vocational School.
- Ability to complete in-house construction projects on schedule.
- Confers with department heads and others to plan and implement work.
- Good customer relations skills.
- Must maintain a valid Georgia Driver's License.
Preferred Qualifications
Bachelor's degree in Facilities Management, Engineering, Construction Management, or related field.
