As the Executive Assistant to the Chief Human Resources Officer (CHRO) and HR Administrator, your role will be pivotal in boosting our company's performance-driven culture. You will be the anchor in optimizing the CHRO's time, ensuring efficient execution of tasks and proactively anticipating future needs. You will partner closely with the CHRO to ensure alignment and provide administrative support. Your key responsibilities will range from managing workflows, enhancing internal and external communication, regulating calendar access, to ensuring meeting materials are prepared for review. You'll also tackle administrative tasks such as handling expenses and travel arrangements.

Responsibilities:
Manage and prioritize the CHRO’s schedule, ensuring timely preparation for meetings by anticipating needs and gathering necessary materials
Prepare confidential daily/weekly briefings and slide decks, organize meetings, and coordinate the receipt of documentation through exceptional knowledge and understanding of MS Office tools
Prepare agendas and gather materials for department meetings along with ensuring appropriate minutes of meeting are transcribed, distributed, and followed through
Liaise with internal teams on Board and Executive meetings, including coordinating meetings, managing logistics, and distributing materials for review
Support the HR leadership team with calendars, logistical arrangements, data analysis & summaries
Arrange and coordinate cost-effective travel, including booking flights, car rentals, hotels, and creating detailed itineraries
Submit and reconcile expense reports through Concur in a timely manner
Manage all CHRO communications
Provide support as needed outside regular working hours, ensuring timely responses to requests
Our Ideal Candidate Qualifications:
Post-secondary diploma or degree in Office/Business Administration or relevant field
Minimum 10 years of relevant experience supporting senior leadership, preferably in the HR function
Experience in Investment/Financial sector an asset
Knowledge in Human Resources or prior experience working in an HR function
Deep understanding and knowledge of AIMCo
Exceptional proficiency using Microsoft Office software such as Word, Excel, Outlook, PowerPoint and preference for experience with Workday
Exceptional communication skills, with excellent writing and editing abilities; able to deliver concise messages to diverse audiences
Excellent analytical skills, sound judgment, political acuity and tact
Capacity to handle extremely sensitive and confidential information
Solutions orientated with an ability to respond quickly to people and situations by exercising sound decision-making abilities
