Job Overview
The Office of Undergraduate Admissions Graduate Assistant is a 10-month position, 2-year committment over the course of earning a Master’s degree (listed below) at Albertus Magnus College and reports to the Director of Admissions, Director of Enrollment Operations and Associate Director of Admissions. The Graduate Assistant position will support the Office of Undergraduate Admissions. The Graduate Assistant will work part-time to enhance the utilization of Slate and plan events for prospective students. The position will assist the Office of Undergraduate Admissions with daily operations related to this purpose. This candidate will work collaboratively under the direction of the Director of Admissions and the Director of Enrollment Operations to assist with the planning of Admissions events and oversight of the variety of communications, including emails, texts and mailings, targeting specific student populations.

Graduate Assistant Positions are limited to applicants seeking degrees in the following programs:
- Master of Business Administration
- Master of Science in Accounting
- Master of Science – Healthcare Management
- Master of Accounting
- Master of Healthcare Administration
- Comfortable using Slate, the Enrollment CRM system, to look up student records and pull queries for required data.
- Builds and runs queries in Slate to target specific populations of students for data and reporting purposes and for email and text communications.
- Builds and tests email messages and text messages in Slate.
- Pulls prospective student data and works with team to facilitate calling campaigns, including, but not limited to, Open House, Accepted Student Day, faculty, and parent calling campaigns.
- Pulls prospective student data and filters, sorts, and organizes information to be sent to printing vendors for mass mailings, which include:
- Open House postcards
- Early Action I & Early Action II postcards
- Accepted Student Day invitations
- Viewbook/ lead travel piece
- School Counselor Day invitations
- Works collaboratively with Enrollment Operations and Admissions to manage the Undergraduate Admissions master communication plan calendar. Strategically schedules communications during specific months.
- Provides training to Admissions Ambassadors how to run queries from Slate to ensure all acceptance and deposit mailings are sent out within a reasonable time frame.
- Assist with the coordination of Office of Admissions events, including, but not limited to, Open Houses, Accepted Student events, Preview Days, Falcon for a Day events, Weekday/ Saturday Tour Sessions, and Group Tours.
- Provides back-up with answering of main Admissions phone line and direct callers to appropriate offices.
- Assists with administrative tasks that arise, such as mailings and filing.
- Provides exceptional customer service to students, their families, and all auxiliary offices and staff.
- Travels independently or with Admissions Counselors to high schools and college fairs to represent the College through informational presentations.
- Other duties as assigned, as directed by the Director of Admissions and Director of Enrollment Operations.
- Strong written and verbal communication skills, as well as strong interpersonal skills.
- Solid computer skills; willingness to learn and adapt to new software/technology.
- Innovative thinking, able to think outside of the box and present ideas to Admissions leadership.
- Adaptable to change; able to work independently or with a team confidently on projects.
- Highly professional, has good judgment, and is willing to take the initiative.
- Ability to multitask and work gracefully under pressure.
- Takes pride in work to ensure the task is completed within a reasonable time frame and accurately.
- Bachelor’s Degree required.
- Acceptance to an approved program at Albertus Magnus College.
- Full-time enrollment is required.
- Experience working in education, counseling services, admissions, or business is preferred (but not required).
- Bilingual preferred (but not required).
- Excellent communication, organization and time management skills.
- Computer skills and proficiency in Microsoft Office Suite, Google Suite, GroupMe, and Social Media Channels such as Facebook, Instagram, and Tik Tok.
- Maintains professionalism and confidentiality.
- Works independently and with a team under pressure and is able to multitask.
- In-office shifts, with 30-minute lunch break
- Some evening and weekend hours will be required.
- No more than 20 hours a week
