POSITION TITLE:
MANAGER: DISTRICT FACILITIES USE
JOB DESCRIPTION:
Manage and oversee all aspects of facility usage, both internal and external, for all of our Albuquerque Public Schools facilities according to current policies and procedures in place.
ESSENTIAL FUNCTIONS:
- Manage all district facility use requests for all APS Facilities
- Establishes, coordinates, and manages an effective system of internal and external facility usage for the District
- Supervise and Evaluate building managers at Berna Facio, Rankin Road, and Building M
- Oversee the daily responsibilities of the building managers at Berna Facio, Rankin Road, and Building M (cleaning, maintenance, restocking of supplies, and safety/security etc.)
- Ensure all district facilities are in appropriate condition for scheduled use
- Manage and Maintain district facility use software and ensure that all facilities use are appropriately in place for all in-district and out-of-district events
- Manage and maintain all required documentation for APS Risk Management, ensuring that the District is appropriately and properly covered by required liability insurance for all events on APS property
- Oversee, assess, and manage all fee’s associated with facility usage at APS and ensure all APS Financial procedures are followed
- Ensure all procedures and fees assessed are aligned/in compliance with all APS Policies and Administrative Regulations
- Create internal usage accounts and provide training for the following role groups (District/Department Administrators and Personnel, Building Administrators, School Site Personnel,
- Work in collaboration with Technology, Nutrition Services, Health Services, Maintenance and Operations, School Police on all Facility Use request
- Provide status reports and facility use schedules on a weekly basis
- Oversee financial accounts associated with facility usage, and ensure all staff complete required paperwork for payment and are paid out in a timely manner
PREFERRED KNOWLEDGE, SKILLS, ABILITIES AND EXPERIENCE:
- Effective communication skills, both verbal and written.
- Flexibility, organization, decision-making and problem-solving skills.
- Interpersonal skills with diverse populations in-person and on the telephone.
- Ability to meet deadlines and work on multiple projects.
- Knowledge of cost estimation, bid preparation and state purchasing procedures.
- Knowledge of word processing, database, and spreadsheet software.
REQUIREMENTS:
- Two years college
- Six years experience as a supervisor or in management
- 2 years experience in facilities rental spaces
- Experience providing professional development and training
- Proficient in using various forms of technology and software programs
