What are the responsibilities and job description for the Administrative Assistant position at Alcoa Inc.?
As the Administrative Assistant for the Assessment & Tax business unit, you will be required to provide administrative support to the entire business unit. Primary duties include :
Process and distribute incoming mail.
Act as the Business Unit Safety Champion; ensure documentation is up to date; maintain tracking spreadsheets; deliver safety orientations to new employees; schedule quarterly worksite inspections for Leaders and Managers; enter inspections and safety topics into Safety Data Management System (SDMS).
Provide additional support to all Leaders and Managers for safety related tasks as needed.
Maintain and order required supplies including office supplies, first aid supplies, safety equipment, and printer equipment.
Order business cards and coordinate catering for business unit events.
Track facility issues and concerns, entering Service Work Orders when issues arrive, and liaising with Facility Management.
Act as the primary contact for booking meeting rooms within the business unit.
Update distribution lists as needed; sort and distribute mail and assist with outgoing communication such as mail merges and formatting letters.
Provide administrative support to the Director and Executive Advisor as needed.
Qualifications
A completed 1 year Certificate in Office or Business Administration.
At least 3 years office administration experience.
Intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook) is required.
A valid Class 5 Driver's Licence (or provincial equivalency) with no more than 6 demerits and no current suspensions or charges pending OR; a valid Graduated Driver's Licence (GDL) with no more than 4 demerits and no current suspensions or charges pending is required.
Access to a personal vehicle for business use will be considered an asset.
Demonstrated organizational skills, accuracy, a high attention to detail, and adaptability to changing priorities.
Strong communication and problem-solving skills, along with the ability to effectively contribute and work in a team environment.
