The General Service Office (GSO) in the Morningside Heights neighborhood of New York City employs approximately 85 people (both alcoholic and non-alcoholic) and serves over 2 million members in the US and Canada.

JOB SUMMARY:
The Staff Services Associate provides administrative support and assistance with professionalism, conscientiousness and intellect to the Alcoholics Anonymous Staff Services assignments. Together they support the efficient daily operation of the department.
At the direction of the Staff Member, the Staff Services Associate is responsible for supporting their Staff Member by managing and completing tasks related to the assignment. This allows the Staff Member to focus on high-level Fellowship-related responsibilities and activities specific to their assignment. Assignments include Public Information, Literature, Cooperation with the Professional Communities, Corrections, among others.
The Staff Services Associate reports to the Staff Services Manager with a dotted line reporting to the Staff Member on their assignment.

RESPONSIBILITIES:
- Provide administrative support for service assignments including but not limited to, scheduling meetings, recording minutes, monitoring and prioritizing daily correspondence with accuracy and timeliness.
- Assist with the accurate preparation and posting of committee agendas and background for General Service Board weekends and the annual General Service Conference within stated deadlines.
- Monitor assignment correspondence, including managing and prioritizing emails and phone calls in a timely manner, and responding with accuracy to general inquiries and requests (e.g., shipment of domestic or international literature, general information about A.A.).
- Assist in project management, including, but not limited to, drafting and distribution of all related correspondence, project presentations and materials.
- Assist in developing and editing of Quarterly or Activity Update Reports distributed to the Fellowship.
- Utilize current management software (NetSuite) to fulfill orders, maintain and update databases and system changes.
- Maintain various assignment-related lists in our databases and generate reports (e.g., Intergroup/Central Office List, World Service Meeting Delegates, Corrections Correspondence).
- Maintain accurate records for the service assignments’ Area/District committee chairs including preparing and distributing welcome letters, service kits and displays with accuracy and timeliness.
- Provide on-site administrative support for GSO events (e.g., the biannual World Service Meeting, Regional Forums, and the annual General Service Conference).
- Contribute to team flexibility and efficiency by participating in cross-training to perform the essential tasks of other assignments.
- May serve as recording secretary to the appropriate board committees and/or office working groups.
- Conduct GSO tours (English and/or Spanish) in an enthusiastic and hospitable manner, interacting professionally with our guests.
REQUIREMENTS:
- Strong and highly accurate computer skills including MS Office Products: Outlook, Word, Excel and PowerPoint.
- Ability to learn and adapt to new technology, software programs and upgrades.
- Strong observational skills with a high degree of attention to details.
- Strong organizational, communication and time-management skills.
- Excellent writing, grammar and proofreading skills.
- Ability to use discretion in handling confidential matters.
- Ability to organize and prioritize workload effectively managing one’s time and responsibilities.

QUALIFICATIONS:
- Minimum 2 years of related experience required in administration, customer service, or similar experience.
- High school diploma or bachelor’s degree in business-related field preferred.
- Experience with a non-profit organization a plus.
- Bilingual (English/Spanish or English/French) a plus.
- Familiarity with the A.A. service structure is a plus.
PHYSICAL REQUIREMENTS:
- Availability to work in person a minimum of three days per week, Friday is mandatory.
- Some weekend or evening work may be required during busy times, General Service Board weekends, or General Service Conference.
- Frequently required to sit, stand, walk, and occasionally stoop, kneel, or crouch.
- Ability to lift and/or move up to 20 pounds.
- Ability to use a computer including tasks such as typing and using software and the ability to read and interpret data on a computer screen for extended periods.
- Ability to work in an indoor office setting with controlled climate conditions.
- Tolerance to moderate noise levels typical of an office setting.
- Travel may be required depending on the needs of the assignment.
Location
This position is in the Morningside Heights neighborhood of New York City, we currently work a hybrid schedule of 3 days in office and 2 days remote with occasional additional in office days.
Pay & Benefits
This is a non-exempt position with an annual pay rate of $51,000 plus approved overtime.
