Position Title: Receptionist
Reports to: Operations Manager
Location: Philadelphia, PA
Employment Status: Part-Time (Monday-Wednesday; 8:30am-5:00pm with 30 minute lunch)
FLSA Status: Non-Exempt
Position Summary: Aldevra is currently seeking a qualified Receptionist to support the Department of Justice (DOJ), United States Attorney’s Office (USAO), and Eastern District of Pennsylvania (EDPA) in Philadelphia, PA. DUTIES AND RESPONSIBILITIES
The essential functions include, but are not limited to the following:
- Responsible for supporting the criminal, civil, and administrative staffs by providing a variety of reception and clerical services
- Provide receptionist duties at the front desk.
- Receive visitors and telephone callers.
- Maintain visitor badges.
- Furnish requested information concerning matters and cases, functions, and general procedures of the office.
- Determine which calls and visitors should be referred to Assistant United States Attorneys (AUSAs) and support staff, and the urgency of said calls and visitors.
- Respond to inquiries, providing general information regarding office programs.
- Advise caller or visitor to contact the appropriate federal, state, or local agencies concerning matters outside the USAO's purview and furnishes the needed address and/or telephone number when available.
- Receive, review, and distribute incoming mail, including service of legal process.
- Maintain miscellaneous files so that correspondence research can be made for unfamiliar material received.
- Check mail and annotates accordingly (i.e., date stamp, attorney assigned, case number, etc.).
- Ensure mail received is appropriately screened and distributed timely.
- Immediately notifies appropriate staff member when material is received via special shipment (i.e., Federal Express, UPS, etc.) or fax transmission and places in appropriate internal mailbox.
- Provide courier services from the USAO to the federal courthouse and federal building (1-2 blocks distance) as required to file, deliver, or retrieve legal documents.
- Provides general copying and faxing services. Assists the office with large case-related mailings by photocopying, stuffing, sealing, and postage metering envelopes.
- All other duties as assigned.

Qualifications:
- High school diploma or GED required with at least 2 years’ experience in reception and clerical support.
- Requires a general knowledge of office processes, procedures, and practices in conjunction with knowledge of reception, and clerical skills and an ability to apply these skills to increase the effectiveness of the USAO.
- Proficient in operating a multi-line telephone with voice mail system.
- Good communication and organizational skills, the ability to deliver highest quality work under pressure, and knowledge of software used by the USAO (or the ability to acquire knowledge about the USAO’s computer systems). Excellent and accurate written communication.
- Familiarity with Windows operating systems; online calendars and cloud systems; intermediate to advanced skills Microsoft office products required
- Proficient in operating a computer terminal, personal computer, or dedicated word processor using a standard typewriter style keyboard with additional function keys to produce a wide range of documents.
- Must be able to type at least 40 words per minute.
- Proficient in operating automated document processing equipment such as photocopiers, printers, scanners, fax machines, binding machines, and label makers.
- Able to use, understand, and maintain directories, office personnel lists, and other guides and references to provide a variety of information on the office and to refer questions to other offices.
- Valid driver's license
- Excellent attention to detail; accurate data entry
