Aledo ISD is seeking a Certification Specialist.
The primary purpose of a Certification Specialist ensures district compliance with state and federal regulations, verifies and monitors certification and highly qualified status as well as licensing of applicants and employees. Processing and maintaining applicant and employee files while maintaining proper security and confidentiality. Communicate frequently with applicants, employees, administrators, and outside agencies.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Ability to implement certification and highly qualified rules and procedures
Proficient skills in keyboarding, word processing, and file maintenance
Excellent organization, communication and interpersonal skills
Ability to perform basic math calculations
Computer skills including use of spreadsheets, data bases and word processing
Experience:
Three years secretarial experience, preferably in a public education environment
Major Responsibilities and Duties:
Certification, Highly Qualified Status and Licensing
1. Audit and maintain certification and licensing information of certified or licensed professionals, paraprofessionals, and auxiliary employees.
2. Process teacher applications and verify certification with the Texas State Board of Educator Certification (SBEC), ensure that all teachers are highly qualified and verify college transcripts.
3. Assist principals in assignment of teachers according to SBEC assignment criteria.
4. Oversee the necessary processing for issuance and renewal of state certificates, permits and licenses.
5. Research and maintain current information on SBEC rules, certification requirements, federal NCLB rules, and highly qualified requirements.
6. Update notes regarding changes in certifications and highly qualified status on applications periodically.
7. Track certification, testing, and permit status and communicate with employees to ensure completion of certification requirements within established timelines.
8. Serve as resource person to administrators and employees on certification and highly qualified issues.
9. Compile information and prepare reports as needed.
Employee Relations
10. Ensure that the employee handbook, substitute handbook and personnel directory are created, updated annually, and distributed.
Records, Reports, and Correspondence
11. Prepare all correspondence, forms, manuals, schedules, contracts, and reports for the Human Resources Department using personal computer.
12. Input and maintain personnel information in employee database.
13. Prepare, record, and distribute correspondence, forms, contracts, letters of intent, and reasonable assurance letters using personal computer.
14. Process and receive criminal history record information and schedule fingerprinting as needed.
15. Maintain fingerprinting subscriptions including deleting subscriptions as employees resign.
16. Compile information and prepare reports as needed by the HR Department and Deputy Superintendent, and pertinent data as needed when preparing various federal, state, and local reports, including EEOC and Texas Employer New Hire Reports.
File Management
17. Maintain physical and computerized department files for all employees.
18. Compile, maintain, file and secure all physical and electronic reports, records, and other required documents.
19. Enter and update employee information in central database.
20. Process requests for official district records, including retrieving documents, copying, and mailing records.
21. Respond to request for verification of employment.
22. Prepare and maintain employee service records.
23. Monitor employee annual performance appraisals being sure HR receives one on each employee and file accordingly.
24. Archive signed appraisal documents annually in the summer.
25. Manage the records storage and destruction process for the HR records following established records retention schedule and requirements of the Texas State Library and Archives Commission.
26. Purge inactive HR records annually.

27. Maintain a schedule of appointments.
28. Greet visitors and assist employees and applicants with completing applications and required paperwork.
29. Answer and respond to incoming calls, take reliable messages, and route to appropriate staff.
30. Maintain confidentiality of information.
