What are the responsibilities and job description for the Secretary to Assistant and Associate Principals, Aledo High School position at Aledo ISD?
Primary Purpose:
Ensure and assist in the efficient operation of school administrative office and provide clerical services for school’s administrative staff.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Proficient word processing and file maintenance skills
Effective organizational, communication, and interpersonal skills
Ability to use personal computer and software to develop spreadsheets, databases, and do word processing
Knowledge of basic accounting principles
Experience:
One to three years secretarial experience, preferably in public education environment
Major Responsibilities and Duties:
Records, Reports, and Correspondence
1. Prepare written correspondence, forms, schedules, or reports using personal computer.
2. Assist with teacher absence management and serve as the guest teacher liaison.
3. Maintain school calendar of events and shared workspaces..
4. Schedule meetings, appointments, and maintain calendar for assistant and/or associate principal(s).
5. Assist students, teachers, and parents as needed.
6. Receive incoming calls, take reliable messages, and route to appropriate staff. Prepare written correspondence, forms, schedules, or reports using personal computer.
Files
7. Maintain physical and computerized files including mailing lists, student records, visitor logs, and office communication.
8. Update handbooks, policy manuals, and other documents as assigned.
Accounting and Inventory
9. Prepare and submit requisitions.
10. Maintain supply inventory for assistant and/or associate principals.
11. Assist with coordination of meetings and campus activities and events.
Other
12. Sort, distribute, or deliver mail and other documents.
13. Administer medication to students, check temperatures, and notify parents of student illness in nurse’s absence.
14. Prepare instructional materials, meeting agendas, honor rolls, graduation lists, and campus communication as requested, using a personal computer.
15. Coordinate maintenance and custodial efforts to address campus needs.
16. Assist administrators with drug testing, safety drills, key distribution.
17. Conduct student discipline intake including student sign in, collection of student statements, and filing discipline documentation.
18. Prepare daily student announcements and monitor the campus communication email account.
19. Maintain confidentiality.

Personal computer and peripherals, copier, fax machine, and calculator.

Maintain emotional control under stress; work with frequent interruptions. Repetitive hand
motions; prolonged use of computer.
