Job Summary: We are seeking a highly organized and detail-oriented Aviation Compliance and Records Manager to join our team. This pivotal role is responsible for managing and maintaining pilot records, overseeing our drug and alcohol testing programs, and ensuring compliance with FAA regulations and TSA requirements. The ideal candidate will have a strong background in aviation records management, a thorough understanding of FAA and TSA regulations, and the capability to manage sensitive and critical compliance programs.
Key Responsibilities:
- Pilot Records Management: Maintain up-to-date pilot records, including medical certifications and training documents. Ensure all records are accessible and organized for audits and inspections.
- Drug and Alcohol Compliance Program: Lead and manage the drug and alcohol testing program. This includes scheduling random and pre-employment tests for pilots and other safety-sensitive personnel in accordance with FAA guidelines.
- Training Coordination: Schedule and monitor required training for pilots and safety-sensitive staff, ensuring compliance with annual training mandates. Notify personnel of upcoming training sessions and documentation renewals.
- NATA Compliance: Oversee and ensure adherence to the NATA compliance program related to FAA security training requirements. Maintain and update records accordingly.
- TSA and Homeland Security Liaison: Act as the primary point of contact for TSA and Homeland Security inspectors. Coordinate and lead all inspections with our Principal Security Inspector.
- Background Checks: Conduct background checks for all safety-sensitive positions, including pilots and mechanics, maintaining thorough documentation for each.
- Documentation and Organization: Keep all compliance documentation and records clear and organized to facilitate easy access during inspections.
Required Qualifications:
- Proven experience in aviation records management or a similar role.
- Strong knowledge of FAA and TSA regulations related to aviation and safety training.
- Experience with drug and alcohol testing programs in a regulated environment.
- Excellent organizational and communication skills.
- Ability to handle sensitive information with discretion and integrity.
- Proficient in using aviation-specific software and databases.
Preferred Qualifications:
- Bachelor’s degree in Aviation Management, Business Administration, or related field.
- Prior experience working with the NATA compliance program and security training.
- Certified in FAA compliance and/or TSA security procedures.
