Primary Purpose:
To contribute to the efficient operation of the Nutrition Department.
Qualifications:
Education/Certification:
- High School graduate or GED required
- Some college course-work preferred
- Must have an Associate’s Degree or have a minimum of 48 semester hours of higher education coursework or pass a district test
Special Knowledge/Skills/Abilities:
- Ability to communicate effectively orally and in writing
- Ability to work cooperatively with all stakeholders
- Strong human relations – commitment to working as a team player
- Ability to use software to develop spreadsheets, perform data analysis, do word processing, and BusinessPlus required
- Strong organizational proficiency
Experience:
- Three (3) years of experience in office management & personnel practices
Major Responsibilities and Duties:
Records, Reports and Correspondence
- Responsible for maintaining USDA/TDA & Health Department required records & communicating applicable information to appropriate staff in Nutrition & other departments, in a timely manner.
- Hiring process: Via PowerSchool, review applications for completion, including references, prior to the interview. If needed, communicate appropriately with applicant. Begin interview session by testing applicants, grading tests and explaining Nutrition Department hiring procedures.
- After Director’s approval of personnel changes, submit all required paperwork to HR (position, salary, resignation, termination, transfer, etc.)
- Assist secretary with “new hire” HR paperwork and schedule prospective employee for physical capacity testing. After passing physical and all other HR requirements (background checks, fingerprinting, etc.), schedule Nutrition orientation. This may include completing District paperwork, viewing required district videos & discussing Nutrition Handbook in its entirety.
- Special Leaves: Communicate with HR, Risk Management & Leave Specialist to ensure completion of paperwork for Worker’s Comp claims, Medical Leave of absences, Accidents and follow-up status as required.
- Assist secretary with scheduling employees for required food handler manager certification and re-certification as needed. Complete and submit required paperwork for manager certification with City of Houston Health Department. Schedule rooms for Nutrition employee training. Ensure all employees are current with certifications.
- Plan, layout, and type documents including correspondence and reports.
- Produce “Beginning of School Year Calendar” – times/locations of meetings, classes, orientations, etc.
- Assist Secretary with Maintenance Work Orders as needed.
- Receive incoming calls and visitors.
- Ensure annual performance evaluations are completed and submitted to HR.
Clerical Support
- Oversee the creation, organization and maintenance of employee files (approximately 400) while maintaining the highest degree of confidentiality due to sensitive nature of information. Update employee information cards as needed.
- Compile and disseminate necessary resources for manager’s each school year (paperwork, calendars, handbooks, signature pages, parking tags…)
- Assist with TDA/USDA Nutrition audit.
Other
- Must obtain minimum required annual Professional Standard training hours, per USDA regulations.
- Must attend required training, in-service and work related activities.
- Follow district safety protocols and emergency procedures.
- Maintain an appropriate level of technology competence to meet the current and future needs of Alief.
- Implement alternative methods of instruction as needed.
- Perform other duties assigned.
Supervisory Responsibilities:
Supervise Nutrition secretary and assist as required.
Evaluation
Performance of this job will be evaluated in accordance with provisions of the Board’s policy on evaluation of Non-Instructional Paraprofessional Personnel.

Posture: Standing, prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Lifting: Moderate lifting and carrying (up to 15 pounds). May require occasional heavy lifting and carrying (15-45 pounds), if over 20 pounds, ask for assistance
Environment: May work prolonged or irregular hours
Mental Demands: Work with frequent interruptions, maintain emotional control under stress
