Align Well Patient Coordinator
We are a multi-disciplinary clinic seeking a Patient Coordinator. We are seeking a highly energetic, talented, professional and ambitious team member for a part-time position (with the potential of full-time). They should possess a commitment to excellent patient care, be a team player, self-motivated, detail oriented, have a polished professional attitude and a passion for aesthetic medicine (a plus). A positive attitude, high energy, willingness to serve clients & the ability to SELL products/services are all vital qualities amongst others described.
Job Responsibilities include:
· Promptly answering a high-volume of phone calls
· Accurately taking and delivering messages to appropriate providers and staff
· Optimizes patients’ satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone
· Keeps patient appointments on schedule by notifying provider of patient’s arrival, reviewing service delivery compared to schedule, and reminding providers of service delays
· Maintains patient accounts by obtaining, recording, and updating personal and financial information
· Obtains revenue by recording and updating financial information, recording and collecting patient charges
· Protects patients’ rights by maintaining confidentiality of medical, personal, and financial information
· Maintains knowledge of all providers' schedules and restrictions. Patient check-in and check-out
· Complete knowledge of all services and treatments performed at facility
· Office administration: including but not limited to stocking supplies, checking inventory, sanitization and facility maintenance, organization and making sure the surrounding environment of all suites are clean and welcoming
· Regularly attend, participate in and support training and staff meetings for the clinic.
· Must be able to maintain relationships with patients in person and on the phone
· Rooming patients, scheduling patient follow-ups, treatments, with excellent phone etiquette.
· Provide accurate, appropriate and immediate responses to all requests by clients
· Uphold the standards of sanitation and sterilization as directed by law and the clinic’s policies and procedures
· Must be able to perform other administrative tasks and duties when given by Doctors, Manager or Providers
· Organize office, restock amenities, and maintain a tidy environment
· Take initiative to present and sell products and services in a professional and proficient manner through product knowledge of multiple brands
· Must have a great personality and people skills, new grads welcome
Front Desk Receptionist Skills / Qualifications:
- Proven experience as an office assistant or in another relevant administrative role is a plus
- Knowledge of computer systems
- Working knowledge of office equipment
- Excellent organizational and time management skills
- Ability to multi-task
- Analytical abilities and aptitude in problem-solving
- Excellent written and verbal communication skills
- Proficiency in MS Office
- Friendly and compassionate disposition
- Dedication to maintaining confidentiality of all patient records
Education, Experience:
- University/college degree is an asset
- Clinic experience helpful but not required, will train the right candidate
Work Hours & Benefits:
- We are open Monday through Thursday 7am-6pm and Fridays 7am-1pm. Shifts vary, Monday, Tuesday and Thursdays are a MUST!
