AVB is looking to add an Office Coordinator/Billing Specialist to the non-clinical team to assist the Clinical Director with a variety of tasks focused on overall provider and client success. This role will work cross-functionally with our Registered Behavior Technicians (RBTs), Human Resources, Clinical Directors (BCBAs), and client families to ensure we provide the highest quality of care to our clients while also supporting the needs of our providers and technicians. This role is a blend of administrative, HR, and client services duties. We are particularly interested in a candidate with management potential who desires a position with varying responsibilities and rewarding challenges.

Role Responsibilities
Administrative
- Prepare and edit correspondence, reports, and presentations
- Manage the calendar of the Clinic Director
- Handle confidential information with discretion
- Coordinate and organize company-wide meetings including preparing agendas, taking notes, and following up on action items
- Ensuring that clinical note audits occur to maintain the accuracy of billing
- Ensuring adherence to budget requirements for company purchases
- Managing and approving sick leave and vacation requests for employees
- Maintaining employee certifications and credentials
- Document management, both for clients and employees
- Communicating with the talent acquisition department regarding any resignations or staffing needs
- Coordinate employee schedules, resources, equipment, and information
- Assist with onboarding of new employees by collecting and verifying new hire paperwork and scheduling orientation
- Managing and approving sick leave and vacation requests for employees
- Learn existing billing processes in Rethink Behavioral Health
- Support out-of-network and out-of-pocket/private pay clients
- Track the status of payments, reconcile payments, and follow up on billing errors and issues
- Research and resolve denied claims
- Assist with patient collection, send patient statements, and follow up
- Assist in preparing weekly reports to management summarizing billing activity (claims submitted, claims denied, remittance received, etc.)
- Manage communication with the parents and families enrolled in our program
- Onboarding new clients and handling any family questions/concerns
- Validating the accuracy of client schedules
- Holding clinicians accountable for submitting session notes within 24 hours
- Managing client calendars and organization-wide calendars
- Calendar management/scheduling experience required
- Strong communication skills
- Strong technical skills in Google Slides, Google Docs, and Google Sheets
- Highly organized and enjoys working on various projects at the same time
- Detail-oriented and a meticulous note-taker
- Bilingual (Spanish or Amharic)
- Experience working in a clinical environment
- Previous experience as an Executive Assistant is a plus
- Experience managing the operations of a clinic preferred
- Competitive hourly rates ($20 - $24/hr based on experience)
