Job Purpose:
As a Special Events Assistant, you'll play a vital role in ensuring the smooth execution of special events, working closely with our field team, and providing exceptional support to our operations.
Job Duties:
1. Assist with alleviating paperwork, sending text reminders, and maintaining organized digital and physical files.
2. Prepare and coordinate schedules for approval, ensuring accuracy and attention to detail.
3. Collaborate with the field team to ensure trucks are loaded correctly, and verify job details using TCR.
4. Monitor and update inventory levels, ensuring equipment and supplies are available for events.
5. Maintain an up-to-date calendar, modifying schedules as needed, and tracking future events, cancellations, and daily orders.
6. Send reminder texts and schedules to team, ensuring timely communication and coordination.
7. Verify equipment, manpower, and schedules are in place for events, ensuring seamless execution.
8. Perform other duties as needed, demonstrating flexibility and adaptability.
Job Qualifications:
1. Proven ability to prioritize tasks, manage multiple projects, and maintain attention to detail.
2. Excellent written and verbal communication skills, with the ability to communicate effectively with diverse stakeholders.
3. Proficiency in using Microsoft Office, and other software applications.
4. Willingness to work overtime, adapt to changing circumstances, and demonstrate a proactive approach to challenges.
5. Ability to work collaboratively with the field team, management, and other stakeholders to ensure successful event execution.
Physical Requirements/ Work Environment:
- While performing the duties of this job, the employee is regularly required to stand, walk, sit and talk or hear, both in person and by telephone.
