All Energy Solar is seeking a Regional Event Coordinator (part time non-exempt/hourly) to join our team. As our team and company continue to grow, individuals will have the opportunity to grow and advance as well. This role will report to the Marketing Event team and will help plan, oversee and execute All Energy Solar’s presence at regional in-person and virtual events. The individual will creatively help the coordination for each event through identifying new opportunities, setting up the onsite booth with eye-catching promotional items and working with the rest of the marketing team to have engaging, educational materials at our booth. Events include in-person trade shows, fairs/festivals and conferences along with virtual webinars.
The ideal candidate has an enthusiastic, positive attitude towards handling the multi-step event process from start to finish; including finding community events for us to participate in, traveling onsite to set up brand activations, talking to prospective customers at the event to book appointments and creating a thorough recap with post-event data. This position requires high energy and strong organizational skills that will drive events to effectively communicate All Energy Solar’s mission to see more people switch to solar energy. This position is responsible for weekly events set up and logistics across Madison & Milwaukee WI and on-site company meetings at our office in Madison, WI as required. Travel to Northern Illinois, including Rockford, on a monthly basis required.
Responsibilities & Essential Functions
- Responsible for weekly events set up and logistics across WI (Madison & Milwaukee WI) area(s)
- Responsible for overseeing monthly event supply inventory and administrative logistics for IL (Northern IL suburbs & Rockford, IL).
- Attendance and participation in on-site company meetings at our office in Madison, WI or other company locations.
- Planning and coordinating all assigned Wisconsin & Illinois marketing events by helping identify, organizing necessary supplies and assembling required event items onsite.
- Excited and prepared to educate and share our products/benefit information with potential customers.
- Booking promotional staff and coordinating details for their onsite shift for each event if you’re not staffing the event.
- Assist in maintaining an inventory and directory of event marketing materials, making sure all resources are accurate and current while coordinating refills of items as needed.
- Continually seeking and researching new sources of prospective events while providing recommendations to the Marketing Event team.
- Build relationships with local ambassadors and identify opportunities for them to participate in solar parties.
- Other duties as assigned by management.
Skills/Qualifications:
- 1 years of professional event support & coordination/proven experience coordinating events or brand activations.
- Evening / Weekend availability for onsite set up / working / tear down of brand activation.
- Tech-savvy; strong computer skills such as Google-Suite/Google for Business.
- Must complete and clear a MVR (motor vehicle) background screen, have reliable transportation for work/marketing event purposes to regional event locations, and be comfortable (as necessary) driving a company vehicle for work related events as needed with prior approval and based on availability.
- Exceptional client service skills and enjoys working with the public.
- Ability to partner with the Marketing Events team on the big picture to strategically align events with overarching company goals.
- Exposure to project management, coordinating multiple brand activations over short periods of time including but not limited to weekends.
- Innovative and resourceful; actively seeks opportunities to have an ownership mindset in the execution of improving the event coordination process and attendee experience.
- Excellent organizational skills.
- Able to work independently with minimal supervision.
- Ability to work collaboratively and work with teams.

Physical Requirements
- Must be able to lift and carry or otherwise move 50 lbs. regularly while transporting event supplies and setting up the brand activation.
- Must be able to transport and drive for short and long distances for work related events.
Compensation & Benefits
- This is a part-time non-exempt position with an expected pay rate of $25.00/hr.
- Schedule and work shifts will average 15 hours a week with additional hours available during the summer period (subject to change).
