All Is Well Holistic Spa – Katy, TX
Position Overview:
All Is Well Holistic Spa is seeking an Admin Assistant who is highly detail-oriented, tech-savvy, and possesses a calm and focused personality with fresh energy. The ideal candidate will support the day-to-day operations of the spa, ensuring efficiency, accuracy, and adherence to our high professional standards.
Key Responsibilities:
- Administrative Support:
- Filing and organizing paperwork and purchase receipts
- Scanning or PDF printing receipts to file folders and entering them into QuickBooks
- Auditing client intake forms for accuracy and completeness
- Documenting and securely maintaining all employee and contractor records, ensuring proper entry into QuickBooks and payroll portals
- Staff Training and Support:
- Assisting in training new Spa team members and onboarding new hires
- Helping with training, creating, and improving checklists and SOPs
- Assisting with SOP training, checklist management, and auditing
- Client and Membership Management:
- Managing member EFTs and handling cancellations and freeze requests
- Responding to credit card payment disputes in a professional and timely manner
- Spa Operations:
- Performing or supervising spa opening and closing tasks to ensure a welcoming and secure environment
- Assisting with inventory checks, audits, and orders, and entering inventory into Meevo POS
- Payroll and Financial Oversight:
- Processing payroll accurately and on time
- Ensuring proper documentation and safekeeping of all financial and operational records
- Other Duties:
- Providing additional administrative support as needed to maintain smooth operations
Qualifications and Skills:
- Highly detail-oriented and organized
- Proficient in QuickBooks, Meevo, Slack, Project management software such as trello or click up and other relevant software
- MS Office, Adobe Acrobat, Canva Graphic Design, Loom.com. Google Suite. ChatGPT
- Tech-savvy with the ability to adapt to new tools and technologies
- Strong communication and interpersonal skills
- Ability to work calmly and effectively under pressure
- Self-motivated, with fresh energy and a proactive approach to problem-solving
