Job Summary
We are seeking a highly organized and detail-oriented Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong communication skills and a solid background in office management, particularly within a medical setting. This role requires proficiency in managing phone systems, vendor relationships, and clerical tasks while ensuring a productive and efficient work environment.
Duties
- Manage all aspects of office operations, including scheduling, correspondence, and record-keeping.
- Oversee phone systems and ensure excellent phone etiquette is maintained by all staff.
- Develop and implement organizational processes to enhance workflow efficiency.
- Coordinate vendor management activities, including negotiations and contract management.
- Assist with training development for new hires and ongoing staff education.
- Plan and execute company events, ensuring all logistics are handled smoothly.
- Maintain financial records using QuickBooks for accurate bookkeeping and reporting.
- Perform clerical duties such as filing, data entry, and maintaining office supplies.
Experience
- Proven experience in medical office management or similar administrative roles is preferred.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent communication skills, both verbal and written, to interact with staff, vendors, and clients professionally.
- Familiarity with phone systems and best practices for phone etiquette.
- Experience in vendor management and event planning is advantageous.
- Proficiency in QuickBooks or similar accounting software is a plus.
- Proficiency in Excel software.
