Due to continued growth, we are looking for a Billing and Collections Specialist to support our branch in Buffalo, NY. As a Billing and Collections Specialist, you will play a critical role in the financial health of the organization by ensuring timely and accurate billing processes and effective collections of outstanding accounts. Your key responsibilities will include:
Essential Duties and Responsibilities:
- Accurate Invoicing - Prepares and invoices customers according to the specific requirements of the job and customer preferences, ensuring adherence to the customer's preferred billing procedures. This may include issuing credits and rebills if necessary.
- Customer Service - Provides exceptional customer service, which includes promptly and accurately invoicing customers, collecting past-due payments, and understanding and responding to any questions related to the invoices.
- Document Management - Scans and uploads essential documents, including invoices, purchase orders, contracts, and other relevant materials, to the online document storage system based on customer needs.
- Documentation Collection - Collects necessary documents such as W9 forms, Certificates of Insurance, and Exempt Sales Tax certificates as required.
- Visitor and Caller Assistance - Greets visitors or callers, addresses their inquiries, or directs them to the appropriate person according to their needs.
- Job Information Coordination - Assists in obtaining essential information for each job, such as PO numbers, tax-exempt forms, insurance certificates, utilization reports, liens, credit applications, and certified payroll information.
- Master Service Agreements Maintenance - Updates Master Service Agreements as needed to ensure they are current and accurate.
- Additional Responsibilities - Performs other duties or special projects as assigned, contributing to the overall efficiency and effectiveness of the team.
Qualifications:
- Good oral, written and telephone skills
- Good customer service skills
- Time management, organizational and interpersonal skills
- Moderate to advanced computer skills including Microsoft products
- Ability to define problems, collect data, establish facts, and draw conclusions
Education and Experience:
- Previous experience with billing required
- High School Diploma/GED required; Associate degree preferred
- Previous experience in an administrative setting or equivalent combination of education and experience
- Previous experience in the fire protection industry a plus
Physical Demands and Work Environment:
- Office environment – moderate noise
- Mostly sedentary role with the need to move about the office to copy, scan, fax and file
- Will require opening of heavy file cabinets with bending, stooping, or kneeling to file
- May require light lifting of storage boxes, packages to be mailed, etc.
- May require consistent time spent on the computer and phone throughout the day
Salary Range: $20-$25 per hour, dependent on experience
