Position Summary:
We are seeking a highly organized and detail-oriented Trucking Coordinator Administrator to join our team. The ideal candidate will be responsible for overseeing and managing all trucking invoice processes. This includes ensuring accurate invoice coding, facilitating timely payments, tracking outstanding balances, and coordinating with vendors, clients, and internal departments to ensure smooth transactions.
Key Responsibilities:
- Invoice Processing: Review, code, and process invoices related to trucking services, ensuring accuracy in hours, ticket reconciliation, and compliance with contractual terms. Verify invoice completeness and resolve discrepancies as needed.
- Record Maintenance: Maintain accurate and up-to-date records of tickets, invoices, and financial documents. Organize records for easy access and ensure compliance with audit requirements.
- Reconciliation: Reconcile hours from tickets with schedules and invoices. Ensure all transactions are accurately recorded in the financial system.
- Communication: Act as the primary point of contact for truck-related inquiries, both internally and externally. Coordinate with accounting, finance, and project managers to facilitate smooth operations.
- Documentation: Assist in creating and maintaining standard operating procedures (SOPs) for payment processes. Ensure adherence to company policies and financial best practices.
- Administrative Support: Provide comprehensive support to the Construction Manager and Project Managers. Assist with various administrative tasks as needed, adapting to project requirements to maintain efficient workflows.
Qualifications
- High school diploma required.
- Associate or bachelor’s degree in business or a related field preferred.
- Minimum of 2–3 years of experience in logistics, transportation, and invoice processing, preferably within the trucking or construction industry.
- Proficiency in administrative tasks, including scheduling, documentation management, invoice coding, and reconciliation procedures.
- Strong attention to detail and excellent organizational skills.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with financial software such as Vista or SAP.
- Effective written and verbal communication skills for interacting with internal and external stakeholders.
- Ability to analyze financial data and resolve discrepancies efficiently.
- Strong problem-solving and critical-thinking abilities.
