TIMS Coordinator/Cost Clerk Duties 12 Month Position with Full Time Benefits
Monthly:
TD-19 Transportation Report- Consists of pulling monthly charges from BSIP (state system) that includes repairs, mileage and fuel, pulling monthly Labor Report, billing all activity bus mileage and county car charges and fuel ticket report for state.
Close out all Repair orders as well as charging out all parts and entering invoices into BSIP
Stocking in all stocked parts using TD-21 Inventory Receipt process
Creating PO’s for invoice purchases and entering those invoices to be paid
Calculating and Processing payroll for bus drivers, sub bus drivers and maintenance
Scheduling all activity buses and recording mileage
Order diesel fuel and gasoline when needed, checking quotes to make sure we get with the cheapest supplier
Assist in trying to find sub bus drivers when needed
Pull bus camera footage for stop arm violations and communicate with State Police to insure a conviction when possible and help schools to pull bus camera footage for student discipline issues
Keeping up with bus routes and making sure that students board the correct bus and communicate with the schools and drivers about any changes or additions
Make sure Excel route sheets are as up to date as possible
Work in the state TIMS server in the event of any changes or updates
Yearly :
TD-1 Annual Data Report- Consist of end of year inventory report and camera reporting as well as all expenses that has to do with Transportation
TD-2 School Bus Passenger Report Bus Summary- Ridership report
TD-2R Bus Driver Salary and Route Times Report
TD-24 Contract Transportation Report
TD-TIMS- All routes have to be entered into the Transportation Information Management System for the state. Create a route, then create a run, create a stop by using an address and then enter the student on the stop. Very time consuming. This also helps us determine the TD-24’s and the contracts that is used for bus driver pay. NOTE: TD-TIMS report is yearly but TIMS is also used throughout the year in the event of any changes and updates
