SUMMARY OF POSITION
The position of Assistant to the Provost and Dean of the Faculty provides high level, executive support to the Provost. Conserves Provost’s time and promotes Allegheny’s image by representing the Provost internally and externally. The Assistant relieves the Provost of operational and administrative details and performs diverse, highly responsible, complex, and non-supervised administrative and office management functions that require recurring contact with various levels of administrators, executive leaders, employees and other officials. Occasional weekend and evening hours required.

As the Assistant to the Provost and Dean of the College, you will:
- Maintain the efficient operation and good functioning of the Provost’s Office. Maintain the Provost’s electronic calendar, assist the Provost with travel arrangements, arrange itineraries and travel arrangements for selected visitors. Maintaining a confidential, congenial, pleasant, and professional atmosphere in the office.
- Serve as the Provost’s representative and administrative support for designated College events including Board of Trustees meetings and functions.
- Prepare all pre-tenure, tenure, and promotion review packets; maintain faculty personnel and general office files. Help answer faculty and reviewer inquiries regarding the faculty review process, and the online review platform. Prepare correspondence to faculty including faculty hire, reappointment, tenure and promotion letters. Screen office visits, respond to sensitive questions, complaints, and requests for information from administrative, management, academic, staff and the general public while exercising independent judgment and discretion in disseminating information.
- Coordinate group meetings and arrange and manage Provost’s Office events. Provide assistance to prospective and current faculty as needed. Conduct research projects, compose and answer correspondence, prepare reports and other materials in support of the activities of the Provost’s office. Assist faculty committees with obtaining information and support to perform their functions.
- Manage the Provost’s operating budget, numerous endowed funds, and restricted accounts.

SKILLS AND KNOWLEDGE
- Minimum of 3-4 years of relevant professional experience, preferably in higher education.
- Associate Degree preferred, Bachelor's Degree strongly desired, but will consider years of experience with demonstrated success as an Executive Assistant in lieu of a degree.
- Proven and exceptional interpersonal communication, writing and editing skills; exceptional attention to detail.
- Ability to think critically and strategically while handling multiple tasks simultaneously and independently.
- Proficient computer skills, including with Microsoft Office Suite, Google Suite, and database information systems.
- A high degree of confidentiality, professionalism, and discretion are essential as are flexibility, resilience, and positive attitude.

YOUR COMPENSATION
New hires are typically brought into the organization at a salary between the range minimum and the salary range midpoint depending on qualifications, internal equity, and the budgeted amount for the role. Adjustment of the range can occur based on the background offerings of the candidate in relationship to the position. This is an exempt position and the estimated starting pay rate range for this position is $46,000 annually.
