Job Description
The Front Desk professional performs clerical and administrative duties for the agency, including answering incoming telephone calls, answering general questions and inquiries, greeting visitors, logging and distributing incoming faxes, sorting and distributing mail, ordering and monitoring office supplies, faxing, scanning, photocopying, and other clerical duties as assigned.
The ideal candidate has some post-high school education or training and one year of experience in a position of similar responsibility (front desk, administrative assistant, etc.). Candidates must have a pleasant and courteous personality, strong administrative and organizational skills, strong phone and computer skills, and excellent communication and interpersonal skills. Bi-lingual is a plus.
Responsibilities
- Place phones on and off call daily
- Manage inbound phone inquiries and direct calls accordingly
- Greet all employees and visitors in a warm, sincere, and helpful manner
- Manage required paperwork, records and prepare documentation (forms, reports, etc.) when needed
- Scan documents, fax documents, surf the web, make copies, and conduct research when needed
- Call hospitals to verify patient admissions daily
- Order clinical forms and generate packets for clinicians daily
- Receive shipments of clinical forms and stock accordingly
- Keep track of all packets (generated and distributed)
- Manage Outlook calendar for HR and Care Coordinators
- Assist HR, DON, SPM with tasks as needed
- Keep the front-desk, front-desk area and conference room clean and organized at all times
- Call vendors, schedule appointments when necessary
- Attend staff meetings, trainings, and educational classes as required
- Perform other duties as assigned
Qualifications
- High school diploma or GED required; some post-high school education or training preferred
- One year of relevant experience preferred
- Helpful attitude and friendly demeanor
- Highly professional and dependable
- Excellent communication, customer service, and problem solving skills, including the ability to maintain composure under stress
- Strong organization skills, able to multi-task, and manage time to meet frequently changing deadlines
- Excellent telephone skills
- Strong computer and internet skills, including Microsoft Office suite
