Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing comprehensive administrative support to ensure efficient operation of the office. This role requires a proactive individual who can manage multiple tasks, maintain accurate records, and communicate effectively with team members and clients.
Duties
- Answering telephones with good phone etiquette.
- Perform general administrative tasks such as filing, data entry, and managing correspondence.
- Maintain organized files and documentation for easy retrieval and reference.
- Assist in scheduling appointments, registering for conferences or events and booking hotel rooms for other team members.
- Provide support in preparing/proofreading reports as needed.
- Communicate with clients and vendors, ensuring a professional and courteous interaction.
- Manage office supplies inventory and order supplies as necessary.
- Create and maintain biweekly meeting agenda.
- Run errands such as check mail, make deposits, and other errands as requested.
- Support the team with various projects, demonstrating strong time management skills.
Skills
- Proficient in computer literacy with a strong understanding of Microsoft Office Suite (Word, Excel, Outlook) as well as other relevant software.
- Excellent time management skills to prioritize tasks effectively.
- Strong data entry skills with attention to detail to ensure accuracy in documentation.
- Ability to manage schedules, set up appointments, and track events
- Ability to work independently as well as collaboratively within a team environment.
- Maintaining a clean and organized workspace, managing files (physical and digital), and staying on top of schedules and deadlines.
