About The Position

The Human Resources Coordinator facilitates a comprehensive recruiting and onboarding function for business professionals and paralegals. They will act as the primary resource for hiring managers and applicants, ensuring a seamless interviewing and onboarding process. This position helps organize, coordinate and carry out various human resources projects and processes. The Human Resources Coordinator will have firmwide responsibility thus occasional travel to our 6 offices may be required. This position is currently a hybrid role.

Essential Duties And Responsibilities

Recruitment & Onboarding

  • Partner with HR Generalist and hiring managers to understand staffing needs and develop recruitment strategies
  • Collaborate with hiring managers to develop and maintain accurate job descriptions
  • Screen resumes and conduct initial phone screens with qualified candidates
  • Coordinate interview schedules and manage all candidate communications throughout the recruitment process
  • Process background checks and prepare offer documents
  • Facilitate the onboarding process and ensure onboarding paperwork is completed; prepare orientation schedules for new employees
  • Develop, maintain and update New Hire Packets
  • Establish and maintain relationships with recruiting agencies
  • Track recruitment metrics and generate analytics reports to measure program effectiveness

HR & Administrative Support

  • Manage HRIS (UKG) by processing changes, supporting system configurations, and remaining current on trainings for various modules. Ensure data in HRIS system is accurate and consistent with other firm databases
  • Maintain accurate and up to date personnel file database (PeopleDoc) and department files
  • Provide support for various department projects throughout the year, including supporting wellness program and initiatives and assist with planning and execution of employee recognition events
  • Facilitate and track mandatory trainings through our online learning system (viDesktop), in accordance with applicable current laws
  • Conduct periodic reviews of and update standard language in HR templates (offer letters, job postings, etc.)
  • Collaborate with HR Generalist and managers during annual evaluation period to update job descriptions and draft job change letters
  • Communicate HR policies, procedures, programs, and laws to firm personnel
  • Support preparation and facilitation of annual performance review process
  • Prepare monthly and quarterly reports for management
  • Process monthly expense reports in Emburse Enterprise
  • Update HR-related items on firm's intranet
  • Maintain department Outlook calendars and firm intranet calendar
  • Update and distribute phone lists and office floor plans as changes occur
  • Conduct office tours
  • Take notes for bi-weekly HR department meetings
  • May assist with payroll functions
  • Ensure compliance with federal, state, and local employment laws
  • Provide general clerical and operational support to department, draft memos and letters
  • Preserve high standards of confidentiality for all employee records and information

Qualifications

  • Must have excellent written and verbal communication skills and the ability to effectively communicate with all levels of firm personnel
  • Self-starter, quick learner and good listener
  • Ability to work well in a team atmosphere and independently with minimal direction
  • Ability to meet deadlines with flexibility to work with unexpected changes
  • Ability to multi task and prioritize while working with minimum supervision
  • Must demonstrate good judgment and ability to maintain confidential information

Education And/or Experience

  • Bachelor’s Degree in Human Resources or related field is required
  • 2 or more years of experience required, preferably in a professional services or legal environment
  • Recruitment experience preferred
  • Proficient in Microsoft Office and Windows applications
  • Must possess understanding of Federal and State employment laws
  • Knowledge of legal hiring practices and hiring trends preferred
  • Experience with UKG preferred
  • Experience with using an ATS preferred

Compensation

Allen Matkins is an Equal Opportunity Employer and offers a competitive compensation & benefits package. The anticipated base salary range for this full-time role is $70,000 - $85,000 per year. Actual salary will depend upon a number of factors, including, but not limited to, relevant experience, job-related skills, qualifications, and location. The base salary range displayed on the job posting reflects the estimated range for new hire salaries for the position. The actual offered base salary will be determined by work location and additional factors, including, but not limited to, relevant experience, job-related skills and qualifications. The pay range is subject to change at any time dependent on a variety of internal and external business factors.

Salary : $70,000 - $85,000
