Job Overview
We are seeking a detail-oriented and organized Bookkeeper to join our team. The ideal candidate will be responsible for maintaining accurate financial records, processing payroll, and ensuring compliance with accounting standards. This role is essential in supporting our financial operations and will involve working closely with various departments to provide timely and accurate financial information.
JOB TITLE: BOOKKEEPER
FULL-TIME POSITION – In-Person ( Remote)
DEPARTMENT: Administration
SUPERVISOR: Executive Director
JOB DUTIES & RESPONSIBILITIES
General: Maintain Financial Records for Organization and Financial Reporting for Grants
Bookkeeping: -Maintain all fiscal records for the center (paper, digital, and via QuickBooks).
-Prepare annual budget.
-Pay, file, and track all bills.
-Receive/maintain log of daily receipts.
-Generate and update invoice records for programmatic income, e.g., class visits, outreach, scout visits, birthday parties, etc.
-Maintain all bank accounts – checking, CD’s, money markets, etc.
-Filing of all bank statements.
-Reconcile bank statements to accounting system.
-Calculate staff hours and submit to payroll company.
-Generate journal entry to income accounts using online payroll system.
-Manage petty cash disbursements and records.
-Maintain records for TIAA, AFLAC, and other Insurance.
-Complete quarterly calculation and payment for NYS Disability Benefits.
-Prepare premium audit for NYS Insurance Fund & IRS Form 5500.
-Monthly statement review and preparation of all materials for CPA.
-Prepare quarterly income/expenditure reports for Board of Directors & Executive Assistant review.
-Compile other fiscal reports, cost analyses, and program reports as needed.
Grants: -Assist with public/private funding proposal preparation (budgets only).
-Assist with interim and final reports for necessary public/private grantors, e.g., NYS Natural Heritage Trust, OPRHP (ZBGA), NYC DCLA, NYC DYCD several times per year (income/expenses only).
-NYS and NYC audits as scheduled by grantors.
General:
-Maintain working relationship with vendors.
-Assist at special events as needed.
-Public relations, visitor orientation, reception, referrals, and telephone staffing as needed.
QUALIFICATIONS:
Associate degree in accounting or related field. A minimum of 1 year of experience. Knowledge of basic bookkeeping procedures, including journal entries, balance sheets, and profit/loss statement required. Must be able to work independently with minimal supervision and to multi-task in a fast-paced environment. Must be able to work in a team environment with other staff. Knowledge of QuickBooks and other Microsoft word applications is required. Nonprofit bookkeeping experience is preferred.
WORK CONDITIONS: indoors in private office
HOURS: 40 hours a week (in-person)
SALARY RANGE: $18.75-$26.00 per hour
