What are the responsibilities and job description for the Executive Assistant position at Alliance Bank?
Essential Functions
- Work directly with the CEO to support all aspects of his/her daily work routine.
- Serve as the Alliance Bank/Bancorp Board Secretary.
- Serve as a liaison between the CEO, Alliance team, clients, shareholders and community. This includes receiving and screening the CEO’s phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.
- Coordinate work with other Alliance team members as needed.
- Provide coordination, monitoring, and communication of projects and programs managed by the Senior Leadership Team.
- Assist in Senior Leadership Team activities and processes including project planning, prioritization, execution and training, as well as in fostering collaboration of end-users and key stakeholders.
- Serve as a primary point of contact between the CEO and shareholders, including helping to coordinate the work of the different groups and providing administrative support for governance meetings.
- Assist the CEO in the development of presentations and letters for internal and external audiences.
- Determine priority of matters of attention for the CEO; redirect matters to other departments to handle, or handle matters personally, as appropriate.
- Keep the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
- Compose and prepare communications relating to routine correspondence for the CEO’s signature.
- Schedule meetings; assist in the preparation and distribution of meeting agendas and materials.
- Transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate.
- Assist with reservations for venues and travel arrangements, as needed, for members of Senior Leadership Team and Board of Directors.
- Prepare, reconcile, and submit expense reports for CEO.
- Maintain paper and electronic filing systems.
- Maintain confidential and sensitive information.
- Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
- Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
- Support the culture of the team through coordinating life event gifts and coordinating new hire orientations.
- Actively use the Entrepreneurial Operating System (EOS) to align business goals, drive accountability, and ensure effective communication across teams.

Work Environment & Physical Demands
This position travels by vehicle to businesses across the Alliance Bank footprint.
This job operates in a professional office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers. This position requires manual dexterity and the ability to lift files. This position requires bending, stooping or standing as necessary.
Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. Full-time employee must work 35-40 hours each week to maintain full time status.
Education and Experience
- High School or GED equivalent required
- 1 year of related experience preferred
