Overview:
The Buyer / Planner Admin plays a key role in ensuring the successful planning and execution of projects by providing detailed and accurate cost evaluations. This position is integral to the organization’s ability to deliver high-quality results while maintaining budgetary and scheduling goals.
This individual must be self-motivated, detail-oriented, and skilled at problem-solving with a critical eye. Rapport-building is key for this position; this Admin will be responsible for communicating with customers, vendors, subcontractors and staff to build and support professional relationships.
Due to the unique nature and high growth of our exciting company, this Admin must be able to flourish in an environment with shifting priorities, deadlines, and goals. They must have effective time management skills, attention to detail, and a demonstrated history of helping others.
Important -- This position will be filled as a Contract-to-Hire with the typical transition to employment occurring after successfully completing an initial probationary period between 90 – 120 days. A performance review will be used to determine an offer of full-time employment.

Key Responsibilities and Skills:
- Thoroughly read and interpret construction drawings and specifications to determine the correct security requirements.
- Determine the total costs for materials, labor, equipment, and mobilization for commercial physical security projects.
- Develop and present accurate estimates and quotes for project planning, organization, and scheduling, ensuring alignment with project objectives.
- Provide cost-price analyses to support supplier partnerships and project-specific agreements.
- Review, analyze, and negotiate procurement contracts, optimizing terms and ensuring alignment with organizational goals.
- Write and edit proposal narratives outlining project scope, relevant clarifications, and exclusions for clear submissions to member organizations.
- Ensure timely submission of all necessary project documents to meet critical deadlines.
- Maintain regular communication with management and project owner , providing consistent updates on project progress and status.
- Collaborate with other teams, conduct site visits, and handle additional tasks like document delivery as needed.
- Preparing estimates to meet project goals, such as setting work hours, sequencing tasks, obtaining materials, and securing the best deals with vendors and subcontractors.
- Create accurate take offs document management for self and others to review.
- Good communication skills, ability to describe scopes and detail of assemblies with precision.
Qualifications:
- Knowledge of cabling, video systems, access control, and door hardware.
- Demonstrated strong and effective verbal, written, negotiating, analytical, and interpersonal communication skills to work across functional and organizational lines with uncompromising ethics.
- Must be a motivated self-starter with a demonstrated proven track record in the ability to prioritize, organize and multi-task in a flexible, fast paced and challenging environment to effectively meet deadlines.
- Knowledge of Procore, Asana, and Inkscape is preferred.
- Demonstrated proficient computer skills using Microsoft Office Word, Excel and PowerPoint.
- Work well in a constantly changing, fast-paced environment.
- Willingness and ability to travel up to 20% of the time.
- At least one (1) year of experience in Buyer / Planner or equivalent education and role(s).
- Must pass a pre-employment, post-offer background check.
- Must be authorized to work in the US without sponsorship.
