HIM Administrator Job Summary
Health Information Management (HIM) Administrator oversees the daily operations of the medical record department to ensure operational workflow and compliance with Alliance Healthcare System policies and procedures, federal, and state regulations. Assists Director with additional tasks and responsibilities as delegated by Director.
HIM Administrator Duties and Responsibilities
· Ensures HIM team members that patient health information is handled with quality, integrity, and protection in compliance with HIPAA, federal, and state regulations by safeguarding, releasing, auditing, and maintaining patient health information according to such policies and procedures.
· Ensures releases of information are consistent with HIPAA mandates, federal and state regulations, and Alliance Healthcare System policies and procedures by evaluating requests for health information from patients, providers and third parties.
· Provides ongoing patient privacy education to Alliance Healthcare System team members.
· Generates and presents various required statistical studies and audits.
· Serves as a resource for providers and team members needing assistance with documentation or Azalea/CPSI issues.
· Responds to inquiries from team members, medical staff, vendors, and the public for the purpose of providing information and/or direction, discussing, and resolving any issues and/or problems.
· Provides an oversight of HIM functions and activities.
· Communicate with providers regarding needed documentation on a daily and weekly basis.
· Analyzes medical records to ensure compliance with regulatory requirements and logging identified deficiencies in Azalea/CPSI.
· Oversees HIM team members and personally performs accurately assigning and sequencing codes (ICD-10-CM, ICD-10-PCS, CPT, HCPCS) for each patient encounter, following proper coding guidelines and legal requirements to ensure compliance with federal and state regulations.
· Abstracts required medical record information from patient records.
· Queries providers when code assignments are not straightforward or documentation in the record is inadequate, ambiguous, or unclear for coding purposes.
· Assigns and enters charges such as ED levels, infusion/injections, observation hours, vascular, etc.
· Supervises team members, including hiring, scheduling and assigning work, training, orientation, mentoring/coaching, evaluating and reviewing performance, and recommending salary increases, promotions, transfers, demotions, or terminations.
· Assist Director with interviewing and hiring for HIM department as needed.
· Participate in regular team meetings with the Director and team as needed.
· Support Director at meetings and/or training as needed.
· Participate in continuing education activities to expand coding and leadership skills and stay updated on changes in coding guidelines and reimbursement reporting requirements.
· Abides by the Standards of Ethical Coding as set forth by the American Health Information Association and adheres to official coding guidelines.
· Distributes confidential and sensitive information or documentation; handles highly confidential records. Ensure records are always safe and secure.
· Utilization of assistive devices for lifting is mandatory.
· Must adhere to, and promote, safety protocols always.
· Performs other related duties as assigned.
