We are looking for a Senior Personal Assistant based in New York

Your Team The Executive Support team provides an efficient and responsive administrative, organizational, and logistical service to the Senior Executive, helping to manage and prioritize time.

The Impact You Will Have Reporting to the Chief of Staff and directly supporting the CEO North America you will ensure that the CEO can focus on strategic matters by processing delegable tasks. You will also participate in important projects where involvement of the CEO's office is necessary.

Some of your specific responsibilities could include :

  • Ensuring busy diary commitments, papers, and travel arrangements (flights, hotels, visa, personal bookings) are managed effectively including producing a daily folder with diary, necessary papers, etc. and troubleshooting problems.
  • Managing and maintaining the executive's diary and email account, including filtering emails, highlighting urgent correspondence and printing attachments.
  • Coordinating travel and accommodation requirements in connection with others and ensuring arrangements are in place for the executive.
  • Filtering general information, queries, phone calls and invitations to the executive by redirecting or taking forward such contact as appropriate.
  • Liaising with relevant individuals, external organizations, etc. to arrange meetings, prepare agendas and draft minutes.
  • Undertake any other duties as requested by the executive.

What You'll Bring to the Role

  • A minimum of 3 years of demonstrable experience in an administration / assistant role in a highly pressurized environment requiring tact, judgment and discretion in handling internal and external contacts;
  • Strong background with diary management and researching and booking of travel and accommodations;
  • Intermediate knowledge of general office application tools (e.g., Power Point, Excel, Word);
  • Ability to filter information, assess priorities and work independently;
  • Ability to anticipate and foresee needs, proactively addressing them before they arrive, in an effective, appropriate and sensitive manner.
  • Ability to effectively absorb information from various sources, then analyze, study or examine data in detail, and draw appropriate conclusions;
  • Excellent written and verbal communications skills, with an ability to work with a variety of people across the organization and at varying levels;
  • Administrative management skills with an overall knowledge of Allianz Commercial; and
  • Professional Training or degree in Business Administration / Office Administration.
  • The annualized base pay range for this role is $71,305 - $107,764. The annual base salary range represents a nationwide market range. The actual salary for this position may be above and will be determined by a number of factors, including the scope, complexity and location of the role, the skills, education, training, credentials and experience of the candidate. The base pay is just one component of the AzC total compensation package. As part of our comprehensive compensation and highly rated benefits programs, employees are also eligible for annual performance-based cash incentive awards.
