GENERAL SUMMARY
The Non-Medical Caregiving Intake Specialist plays a key role in the client onboarding process by assessing care needs, explaining agency services, and ensuring a seamless intake experience. This position involves direct communication with clients, families, and caregivers to facilitate the start of non-medical home care services. Intake Specialists do not have ongoing responsibility for monitoring client files after the intake process is complete.
ESSENTIAL JOB FUNCTIONS*
Act as the primary point of contact for new clients and their families during the intake process.
Coordinate and conduct the initial in-home assessment with clients and families to understand their non-medical care needs (e.g., companionship, meal preparation, light housekeeping, transportation, personal care), collecting client information, including contact details, care preferences, and health-related concerns.
Ensure all required intake paperwork, service agreements, and consent forms are accurately completed and filed, maintaining the client’s records in the Agency’s system. Intake Specialists do not have ongoing responsibility for monitoring client files post-intake.
Provide detailed information about the agency’s caregiving services, policies, and pricing, answering client questions and concerns.
Record any client preferences and communicate them to the scheduling team through record keeping.
Work closely with scheduling and care coordination teams to initiate services promptly.
Observe and report any safety hazards found in the home or care environment, or any significant observations regarding the client.
Communicate thoroughly and proactively with admin personnel about client concerns, complaints, or issues, as well as any scheduling exceptions.
Maintain client confidentiality in accordance with the Healthcare Information Portability and Accountability Act (HIPAA).
Collaborate with others to ensure continuity of care and promote the client's overall well-being.
Stay updated on best practices and techniques in personal care and attend training sessions or workshops as required.

No previous education or experience is required, but helpful.
Must be able to write, read, and understand the requirements in a client’s care plan; these are unique to each client.

Demonstrable proficiency with Microsoft Office, including SharePoint, and the Agency’s case management system (WellSky). Intake Specialists primarily use WellSky for submitting care plans, and any expansion of office software use will be clarified as needed.
Able to pass a background check.
Able to work independently and handle emergency situations with calm and professionalism.
Have or be able to obtain a valid driver's license and insurance.
