Job Overview
We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing exceptional support to both staff and clients. Responsibilities
- Provide outstanding customer support and service to clients and visitors.
- Perform data entry tasks accurately and efficiently.
- Manage clerical duties such as filing, scanning, and organizing documents.
- Assist with office management tasks, including inventory management and supply ordering.
- Must have some knowledge pertaining to HOA and Condo Property Management .
- Act as a liaison for a variety of properties
- Responsible for keeping daily record and updates on both in house server and properties portal
- Prepare meeting notices/packets, mail outs, email blasts.
- Demonstrate effective time management skills to prioritize tasks and meet deadlines.
- Collaborate with team members to support various administrative projects.
- Provide support for front desk/receptionist when needed.
- Complete tasks as assigned and deemed necessary by appointed supervisor.
Skills
- Strong customer support and customer service skills.
- Proficient in data entry with attention to detail.
- Experience in clerical work and office administration.
- Familiarity with medical receptionist duties is a plus.
- Excellent time management abilities to handle multiple responsibilities effectively.
- Knowledge of office management practices and procedures.
- Proficiency in Microsoft and Excel is desirable but not mandatory.
- Strong interpersonal skills for effective communication at the front desk.
- Organized - Possessing the trait of being organized or following a systematic method of performing a task.
- Working Under Pressure - Ability to complete assigned tasks under stressful situations.
- Adaptability - Ability to adapt to change in the workplace.

- Bilingual English/Spanish as many of our clients do not speak English.
