Job Description
We are seeking a skilled Rental Manager to join our team at Allstate Peterbilt Group.
The successful candidate will be responsible for driving the growth and utilization of our rental product line, ensuring current customer satisfaction while aggressively adding new accounts and expanding the rental fleet.
- Maintain a constant focus on meeting/exceeding client needs and expectations.
- Monitor utilization daily to know market conditions for underutilized equipment.
- Conduct weekly checks on competition rates and specials to stay informed about market rates.
- Learn and understand available markets and what the competition is doing.
- Work closely with lease sales, truck sales, parts, and service staff to promote rental as a tool through all departments.
- Identify new opportunities for unit types/rental programs to continue growing the rental department.
- Review rental fleet makeup regularly to monitor items signaling a need for upcoming replacement for trucks.
- Make sales calls via phone, in person, email, etc.
- Create and execute a scheduled blitz routine for predetermined territories including leasing and rental staff.
- Continue to grow and expand vocational rental business in conjunction with vocational sales and lease staff.
- Handle all rental customer concerns personally, including invoicing, payments, needs, breakdowns, etc.
- Maintain a constant focus on meeting/exceeding client needs and expectations.
- Inform the team daily of changing needs and availability by truck type.
- Review, verify, code, and approve all rental-related invoices weekly. Initiate and complete dispute and resolution process for each when needed.
- Manage fleet reservations to maximize each truck's use, leaving opportunity to maximize upcoming reservations that can be fulfilled.
- Manage daily costs associated with each rental to maximize profit.
- Daily communication and prioritization of tasks for the rental team.
- Compile, prepare, and present budget information for the rental department based on expectations, trends, internal knowledge of upcoming items impacting the fleet, rate, or profit.
- Manage turn-in damage evaluation for each individual rental and follow through all steps. Own final approval for repairs, billing decisions, and customer explanations.
- Be on-call evenings and weekends for customer concerns and lease sub needs.
- Compile and maintain turn-down list and utilize this information to make additional new customers as equipment returns.
- Work closely with credit department to set up new accounts and inform them of details needed. May require assistance with payment plans and collections as needed.
- Monitor sub needs and follow up with service to minimize length and cost of each sub need.
- Monitor invoicing of rental customers, corrections needed, pricing, timing, some manual invoicing as needed.
- Subject matter expert and training as needed for all tasks within the rental department.
- Track, post, and invoice fuel receipts.
- Create and process rental agreements.
- Pre and post-rental truck inspections with record keeping of findings.
- Supply accounting with all correspondence, details, and documents for legal proceedings.
- Provide customers with invoice, agreement documentation as requested with explanation of charges.
- Obtain and verify insurance documents for accuracy to ensure liability is covered by the customer's policy.
- Work with insurance companies for replacement value pay-offs as well as individual accident occurrences to get coverage and invoices paid in a timely manner.
