Position Summary

Primary Functions
- Works with the Plant Controller to complete month and year-end closings on schedule, including journal entries and reconciliations.
- Maintains current accounts payable files, including purchase orders, receiving reports, and vendor invoices. Researches and solves accounts payable issues.
- Completes and returns sales tax-exempt certificates to the vendor. Sends W-9 forms and administrates credit requests. Keeps up to-date insurance certificates on file.
- Maintains purchase order control files for site purchasing function. Generates purchase orders for signature and maintain vendor files.
- Verifies customer order information and enters orders in the production order system on a timely basis. Updates and changes orders as directed by Production Control Manager.
- Maintains ERP System and associated spreadsheets on a daily basis, ensuring accuracy and timeliness of data input.
- Responsible for correspondence, clerical, and other administrative duties for the Plant Controller, Production Control Manager, Plant Manager and other managers as directed.
- Processes all incoming and out-going mail, maintains the lobby, break rooms and office areas for proper inventory levels and supplies.
- Coordinates with vendors regarding office equipment and service agreements.
- Responsible for answering main phone line, greeting, and assisting guests, vendors, and customers in the lobby.
- Assists with scheduling meetings.
- Enters work orders.
- Supports the QMS by adhering to the system requirements.
- Understands and follows plant safety rules. Helps to identify and eliminate any safety hazard or concern. Assists in monitoring of quality of work output.
- Maintains compliance with company policy and procedures.
- Maintains a neat and orderly working area.
- Responsible for reporting any problems or concerns to direct Supervisor.
- Maintains good working relations with all other employees. Strives to have no conflicts with other employees.
- Requires regular attendance to perform essential element as contained herein between the assigned start and end times for work.
- Other duties as assigned.
- Three to five years in manufacturing clerical accounting capacity.
- Excellent computer skills, to include MS Office and other PC productivity tools.
- Excellent spoken and written communication skills.
- Minimum of high school education.
- Mainly indoor office work with sedentary physical activity.
