Job Responsibilities Overview:
- Manage and organize daily schedules, appointments, and meetings for leadership and team members.
- Handle incoming communications, including phone calls, emails, and correspondence, with professionalism and efficiency.
- Prepare and maintain accurate records, reports, and documentation.
- Assist in coordinating internal and external meetings, including room reservations, agenda preparation, and follow-up documentation.
- Monitor and manage office supplies, ensuring availability and efficient use.
- Provide support with onboarding processes for new hires, including preparing documentation and scheduling.
- Collaborate with team members to support administrative needs across departments.
- Maintain a positive and welcoming atmosphere for clients, visitors, and team members.
Skill Sets & Ideal Qualifications:
- Strong organizational and multitasking abilities with attention to detail.
- Exceptional written and verbal communication skills.
- Proficiency in Google and Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience managing calendars and coordinating schedules.
- A proactive mindset with the ability to anticipate and address team needs.
- Prior administrative or secretarial experience is highly preferred.
- Ability to work in a fast-paced environment and adapt to changing priorities.
- Must be able to pass MD/VA state and FBI background check in addition to a sex offender background check.
