As Sr. Department Administrator, you will support the team by effectively maintaining highly confidential records, processing transactions for the department, and following organizational procedure to ensure task completion.

In This Role, You Will Be Responsible For

  • Ensuring the Area Director is set up for success by scheduling meetings and tasks.
  • Planning the agenda, preparing documents and presentations, and ensuring staff are available.
  • Sitting in on meetings to take notes and minutes that the Area Director can refer to later.
  • Planning to bring people together by defining itineraries, finding transportation, and making accommodations.
  • Planning travel for the Area Director, including but not limited to flights, transportation, and accommodation.
  • Screening, prioritizing, and managing phone calls to ensure the Area Director’s focus remains on strategic priorities.
  • Representing the Area Director consistently and professionally
  • Performing basic bookkeeping duties
  • Overseeing routine and major maintenance projects, including heating, ventilation, and air conditioning
  • Ensuring that the building complies with all relevant laws and regulations, including building codes and environmental standards.
  • Developing and managing a budget, and ensuring that the team's necessary costs are met
  • Planning for emergencies and business continuity and ensuring that the facility is vacant during evacuations.
  • Hiring and supervising facilities management staff and managing their schedules.
  • Creating and managing contracts with vendors compliantly, and in accordance with Baker Hughes policy.
  • Managing inventories on an as-needed basis outside of product lines and as directed by the Area Director
  • Conducting sustainability planning where appropriate
  • Forecasting future equipment needs as well as managing the preventative maintenance programs.
  • Conducting and documenting facility and equipment inspections

To Be Successful In This Role, You Will

  • Have completed a high school diploma or equivalent.
  • Have completed some college coursework (preferred)
  • Have 7 years general business experience.
  • Have broad knowledge of related practices and procedures of the department and the company.
  • Have expert-level computer skills including advanced knowledge of Microsoft Office and/or related company-specific software/database programs.
  • Have excellent professional communication & analytical skills.
  • Be adept at working well with stringent deadlines.
  • Possess good organizational skills.
