Job Summary:
As the Office & Hospitality Administrator, you will play a vital part in maintaining the smooth operation of our winery’s administrative functions. You will assist with guest reservations, event coordination, phone and email customer service, and day-to-day office tasks to help deliver an exceptional winery experience for all visitors.
Responsibilities:
- Answer and manage phone calls, emails, and general inquiries from guests, staff, and vendors, ensuring all communications are handled promptly and professionally.
- Coordinate guest reservations for wine tastings, tours, and events, ensuring accurate scheduling and a seamless guest experience.
- Aid in shipping processes
- Assist with guest check-ins and check-outs for tours and events, ensuring all information is documented and guests have a memorable visit.
- Manage the winery’s booking system, including updating and confirming reservations, cancellations, and special requests.
- Regularly monitor office supplies and order when low.
- Assist in organizing and coordinating winery events, including private tastings, tours, wine release parties, and other special occasions.
- Maintain an organized filing system for guest records, event contracts, and inventory documentation.
- Provide administrative support for the management team on daily tasks, including preparing reports, printing collateral, and assisting with marketing materials like newsletters or social media updates.
- Promote the winery’s products, services, and upcoming events to guests as needed.
- Capture customer data when appropriate and be able to organize and analyze customer base.
Qualifications:
- Be willing and able to pass a drug screening and background check, in keeping with California state laws.
- Previous administrative or customer service experience, ideally in a hospitality or winery setting.
- Experience with CRM systems or the like.
- Passion for wine and a general understanding of the wine industry is a plus.
- Strong communication skills, both verbal and written, with a customer-first approach.
- Excellent organizational skills with the ability to prioritize tasks and manage time effectively.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic office software; experience with winery management software is a plus.
- Ability to work independently as well as collaborate with a team.
- Strong attention to detail and ability to multitask in a fast-paced environment.
- Positive attitude with a friendly, professional demeanor.
- This is a part-time position with flexible hours, depending on business needs and winery events.
Compensation
Wage will be competitive and commensurate with experience and qualifications.
