Duties
- Manage and maintain filing systems, ensuring all documents are organized and easily accessible.
- Handle incoming phone calls and inquiries, providing excellent customer service and support.
- Assist with scheduling appointments and managing calendars for team members.
- Prepare and edit correspondence, reports, and presentations using Google Suite.
- Process invoices and manage financial records using QuickBooks.
- Support office management tasks including inventory control and supply ordering.
- Collaborate with team members to improve administrative processes and workflows.
- Maintain confidentiality of sensitive information in accordance with company policies.
Experience
- Proven experience as an Administrative Assistant or in a similar role is preferred.
- Familiarity with dental receptionist duties is a plus but not required.
- Strong knowledge of phone systems and office equipment is essential.
- Proficient in Google Suite applications (Docs, Sheets, Slides) and QuickBooks for financial management.
- Excellent time management skills with the ability to prioritize tasks effectively.
- Strong attention to detail and organizational skills are required to succeed in this role.
